Job Summary/Basic Function

The Administrative Assistant provides essential support to the Center for Spirituality and Social Justice and the Asbell Center for Jewish Life by managing budgets, payroll, inventory, and departmental records. This role coordinates scheduling, travel, and communications for the directors, and assists with event planning and logistics. The position collaborates with various campus departments and external vendors to ensure smooth operations and effective delivery of programs and services. Strong organizational, communication, and multitasking skills are key to success in this dynamic environment.

Essential Functions:


* Monitors and updates inventory, time, budget, payroll, and account records for Center for Spirituality and Social Justice and Asbell Center for Jewish Life. Monitors expenditures and performs simple analysis on accounts. Authorizes and/or approves payments within established guide. Maintains department files.
* Supports directors of both Centers in scheduling meetings with students and staff, assists in maintaining supervisors’ calendars, booking travel, administrative support, and receiving and screening telephone calls and visitors.
* Collaborates with administrative assistants in other academic departments as well as other offices within DEI. Additionally, works with Accounts Payable, CASE, Fleet, the Print Center, Facilities, Dining, and other offices related to religious, secular, and spiritual needs on campus.
* Provides office operations support for arranging conferences, seminars, and special events including booking travel, booking accommodations, and securing payment for speakers and/or performers.
* Maintains the Centers’ websites.
* Maintains office inventory and orders supplies, including swag for students and ritual items and other materials for religious observances. Processes incoming mail.
* Attends budget and other office-related training.
Preferred Qualifications

Required:

High school diploma or GED

Experience with a variety of religious and spiritual practices and traditions is helpful for this position, and especially a curiosity and willingness to explore how individuals experience spirituality.

Valid driver’s license preferred.

1-3 years work experience

Preferred:

Bachelor’s degree
