Medical Education Administrative Officer (South)
We are seeking a Medical Education Administrative Officer (South) to join the Medical Education team based at Hopewood Park, Sunderland on a fixed term basis for 12 months. This key role is responsible for ensuring a high standard and efficient administrative support for undergraduate medical students.
The successful applicant will have excellent customer service experience, excellent organisational and communication skills, experience of taking responsibility for managing own workload and meeting deadlines, able to work under pressure and maintain customer service focus in a fast-paced environment with changing priorities, and experience of team working to achieve objectives. A good working knowledge of Microsoft Office applications and ability to learn new IT skills as required.

Please note that this is purely an administrative role and the postholder won't be required to undertake any delivery of teaching or training to medical students or qualified medics.
The postholder will be full-time office based.
Main duties of the job
The postholder will assist in the administration and co-ordination of the training and induction of undergraduate medical students for the CNTW element of the Newcastle Sunderland University MBBS Programmes including:
* Assisting in providing high level administrative support and coordination for the delivery of the undergraduate teaching for University Students.
* Working closely with the Medical Education Administrator, Director of Undergraduate Clinical Studies, Base Unit Leads, university staff and consultant teachers to plan and deliver the MBBS curriculum.
* Liaising with the clinical teams to ensure clinical attachments are planned effectively and communicated to students and teachers in a timely manner.
* Ensuring timetables and resources are accurately uploaded onto the University platforms.
* Working with clinical colleagues to support the development and innovative practice in delivery of teaching.

Job responsibilities
This post will work within the Medical Education Team. This team works closely with Universities and NHS England (NHSE) to oversee the high-quality education and training of undergraduate medical students and postgraduate trainee doctors.
Sunderland Medical School
The postholder will assist the administrator in providing high level administrative support for the delivery of the undergraduate teaching for Sunderland Medical School. Working closely with the Medical Education Administrator, Director of Undergraduate Clinical Studies, university staff, Block Leads, DME, Associate Medical Director (UG), Simulation & Education Development Lead and medical students to plan and deliver the MBBS curriculum.
Liaising with clinical teams to ensure clinical attachments are planned effectively and communicated to students and teachers in a timely manner including ensuring timetables are accurately uploaded onto the University platform.
Working with clinical colleagues to support the development and innovative practice in delivery of teaching.
Key elements of the job will include leading on the administrative co-ordination and delivery of the formal teaching programme and clinical placements for fourth year medical students. Supporting medical students and CNTW clinical teachers with use of the Medical Schools portfolio system.
Providing administration support for undergraduate placements including but not limited to Year 1 Visits, Year 2 Consolidated Clinical Skills Visits, Student Selected Components, Electives and Work Experience.
Newcastle Medical School
The postholder will assist the administrator in providing high level administrative support for the delivery of undergraduate teaching for Newcastle Medical School. Working closely with the Base Unit Lead, University staff, consultant teachers, DME, Associate Medical Director (UG), Simulation & Education Development Lead, medical students and resident doctors to plan and deliver the MBBS curriculum.
Liaising with clinical teams to ensure clinical attachments are planned effectively and communicated to students and teachers in a timely manner including ensuring timetables are accurately uploaded onto the University platform.
Key elements of the job will include leading on the administrative co-ordination and delivery of the formal teaching programme and clinical placements for third- and fifth-year medical students.
Providing administration support for undergraduate placements including but not limited to Student Selected Components, Physician Associates, Electives and Work Experience.
Support for PIIG meetings as required by the Associate Medical Director (Undergraduate).
Other duties
Room bookings, liaising with speakers, inputting data on relevant databases, ordering stationery and catering, and setting up rooms for teaching. The postholder will provide logistical and technical support to presenters and will provide a reception service for the department. The role also involves working with the Quality & Safety Lead to ensure all necessary data and information is readily available and any resulting actions are taken forward. Attendance at key Undergraduate meetings. Responsible for minute taking where necessary. Any other admin duties as and when required to meet the needs of the department.

Education and Qualification
* English and Maths GCSE A-C or equivalent level
* Word-processing skills at Level 3 (OCR/RSA Level 3) or equivalent qualification(s) in relevant subjects or equivalent level of knowledge
* Capable of working with confidential and sensitive information
Knowledge and Experience
* Proven ability to use Microsoft Office and related packages, including databases, spreadsheets, and inputting and updating electronic information
* Ability to work under pressure, and maintain a customer-service focus, often with constant interruptions by telephone, urgent emails or in person
* Ability to work alone with minimal supervision and manage own time and workload effectivelyCapable of working with confidential and sensitive information
