Legal Team Assistant
About the Role
As a Legal Team Assistant, you'll play a key role in supporting a high‑performing, fast‑paced legal function where detail matters, curiosity is encouraged, and every day brings new challenges. You'll ensure information is clear, accurate, and well‑organised while coordinating key documentation, maintaining structured reporting, and helping deliver timely, actionable insights. Working closely with colleagues across multiple functions, you'll contribute to consistent processes, strong governance, and smooth day‑to‑day operations—keeping the legal team aligned, efficient, and focused on delivering high‑quality support to the wider business.
NOTE: This is a hybrid role based at London Gateway in Stanford-le-Hope and will require occasional business travel, depending on business need.
How You Will Contribute
* Produce, amend, proofread, and format legal documents with speed, accuracy, and attention to detail.
* Manage digital dictation (BigHand) and ensure documents are correctly paginated, numbered, and presented.
* Confidently use MS Word, PowerPoint, and Excel to prepare reports, presentations, and marketing materials.
* Work proactively with the legal team to deliver high‑quality documentation that meets deadlines and client expectations.
* Provide full diary management, including arranging meetings, conferences, travel, and associated logistics.
* Prepare meeting papers, take minutes, and handle follow‑up documentation.
* Maintain accurate client contact information and circulate reminders of key meetings and deadlines.
* Manage document execution processes, including DocuSign, signature coordination, finalising agreements, and distributing copies to relevant teams.
* Maintain organised electronic and physical document storage systems and keep indexes up to date.
* Handle photocopying, scanning, binding, and general administrative support for legal documents.
* Respond to telephone enquiries professionally and relay clear, accurate messages.
* Produce initial drafts of legal documents (e.g., NDAs, minor works contracts, collateral warranties, TPR notices).
* Review legal documents for formatting, consistency, and clarity, and maintain up‑to‑date precedent libraries.
* Support budget administration, including raising POs, processing invoices, tracking spend, and preparing monthly spend reports in collaboration with law firms.
What You Will Bring
* 5+ years' experience in a, legal support, compliance, or professional services environment.
* Strong proficiency in Microsoft Office (Word, PowerPoint, Excel).
* Familiarity with legal terminology and document types such as NDAs, warranties, and contracts.
* Knowledge of purchase order systems, invoice processing, and basic budget tracking.
* Excellent written communication, proofreading, and document‑production skills.
* Proactive approach to problem‑solving and process improvement.
* Ability to handle confidential information with discretion and professionalism.
* Comfortable working in a fast‑paced environment with high expectations for quality and timeliness.
* Strong digital literacy and willingness to learn new systems and tools.
* Ability to review documents for consistency, clarity, and correct formatting.
* Ability to maintain and update precedents and support structured reporting and documentation processes.
