To maximise hotel revenue and guests satisfaction by negotiating Meeting & Events, Wedding and Function business and co-ordinating the execution of business with other departments in accordance with hotels business plan.
About The Role
· To demonstrate and manage exceptional standards of customer care – both face to face and remotely, nurturing long term relationships.
· To ensure that all enquires and correspondence for the events team are dealt with efficiently and on the day of the enquiry
· To ensure excellent standards of client show rounds and open evenings – working with whole team on guest experience.
· To ensure that all function sheets are produced on time with accurate and comprehensive information to assist operational team.
· To ensure that all diaries and systems are kept up to date at all times
· Achieves meetings and events revenue goals by implementing the set strategies provided from the Group Sales and Marketing Manager.
· To perform a ‘Meet & Greet’ function with meeting & event planners to go through the event and successfully build relationships with regular & new clients.
· Actively seeks when available, to interact with existing, potential and new clients by show rounds, lunches and participation in fam trips.
· Work actively to minimise complaints from guests.
· Attend meetings and training required by the Sales and Marketing Manager
· Checks the meetings and events VIPs and communicates this information to the team
· Identify commissionable bookings and secures required information
· Pre-blocks all event accommodation accurately and ensures release clauses are followed.
· Prepare event contracts and chases signed contracts in a timely manner
· To ensure all events are prepaid in advance, or where applicable co-ordinates credit for meetings and events guests with the finance team.
· To manage and deliver quarterly open evenings and 6 monthly Bridal Fayres.
· To monitor all feedback from clients, including follow up procedure and communicate with team.
· To maintain quality information in all databases.
· To carry out proactive sales activity for events.
· To complete regular pricing reviews and competitor analysis of wedding venues.
· Represent the department at the weekly function sheet meeting and morning meetings and feedback key business information to the team.
· Follows all applicable laws, and corporate standards and guidelines.
· Ensure that all potential and real hazards are reported and reduced immediately.
· Fully understand the hotel’s fire, emergency, and bomb procedures.
· Ensure the safety of the people and property within the premises by applying hotel regulations, and adhering to existing laws and regulations.
· Anticipates possible and probable hazards and conditions and either corrects them or takes action to prevent them from happening.
· Maintains a high standard of personal hygiene, dress standard, uniform appearance and body language at all times.
· Assist colleagues to perform similar or related jobs when necessary.
· Accept flexible work schedule necessary for uninterrupted service to hotel guests.
· Continuously seeks to endeavour and improve and department’s efficient operation, and knowledge of own job function.
· Is well updated on, and possesses solid knowledge of the hotel policies and procedures
