With a continually growing portfolio of clients and heat networks under our management, we're looking for a full-time, enthusiastic, experienced and confident administrator to join the team to provide support to our maintenance department.
Offering holistic end-to-end services, Watkins Energy specialises in the design, construction, and ongoing operation and management of both small and large-scale heat networks - operating and maintaining energy centres which supply heat to several thousand properties across London and the South-East. Our maintenance team are responsible for overseeing the planned, preventative, and reactive maintenance of our energy centres and the equipment located in customers' homes which forms part of the heat network - namely heat interface units (HIUs) and metering equipment.

Objective/purpose
The Maintenance Administrator will play a key role in supporting the Operations Director and maintenance department, providing a full, effective, and efficient administration service. The role is varied and fast paced, assisting the day to day running of our growing maintenance department to ensure services provided are high quality and undertaken with a customer-based ethos.
Principal roles and responsibilities
§ Providing day to day administration support to the maintenance department.
§ Maintaining accurate records on our assets and maintenance regimes.
§ Liaising with customers, clients, contractors, suppliers, and colleagues daily.
§ Managing engineer diaries to optimise engineer time, ensuring appointments for planned maintenance are booked several weeks in advance using our online booking system.
§ Managing engineer diaries to book appointments with customers for any reactive maintenance works always ensuring we meet our Guaranteed Service Standards.
§ Reviewing and filing engineer reports, making sure any follow up works are actioned.
§ Obtaining works orders from clients and producing cost breakdowns for chargeable works.
§ Supporting the management team in the ordering and purchasing of goods/stock and services through the company's purchase order system.
§ Stock control for materials and tools.
§ Carrying out other tasks and duties as required appropriate to the post.
§ Paid emergency out of hours cover on a rota'd basis.
Knowledge, Skills and Experience Required
Essential:
§ Full training will be provided; however, a minimum of 2 years' administration experience is required.
§ Previous experience in maintenance planning/administration.
§ Self-starter, driven by success, able to work on your own initiative and as part of a team.
§ Organised and methodical, with the ability to work well under pressure - prioritising workloads to meet deadlines and deliver an efficient service.
§ A team player who is prepared to support other team members and their duties as required.
§ Customer service orientated, possessing excellent interpersonal skills and a demonstrable ability to establish and maintain strong working relationships with a wide variety of key stakeholders, including customers, clients, contractors, suppliers, and colleagues at all levels.
§ Strong attention to detail.
§ Excellent IT skills proficient with Microsoft Office Suite and able to quickly learn new software.
§ Reactive and proactive problem-solving skills.
Desirable:
§ Awareness of legislation and requirements surrounding data protection and privacy.
