We are looking to recruit an Admin & Clerical Coordinator to join our friendly and enthusiastic team at Worcestershire Acute Hospitals NHS Trust, based at The Alexandra Hospital, Redditch. This post is ideal for a highly organised person who would feel accomplishment in improving the organisation and service provision for the Cardiopulmonary service.
The successful candidate will assist in the booking and rescheduling of appointments, support clinical staff in optimising waiting lists, and greet patients that arrive daily. This role contributes significantly to the patient experience and is vital for efficient service delivery, maximising the usefulness of clinical staff.
The post holder will be based at Alexandra Hospital Redditch but may be required to work on other Trust sites. Worcestershire Acute Hospitals NHS Trust comprises three hospitals: the Alexandra Hospital, Worcestershire Royal Hospital, and Kidderminster Treatment Centre. All sites have good road links to the M42 and M5 motorways.
Main duties of the job
Work independently and as part of a mixed team, managing and prioritising daily workload, including prioritising and coordinating clinical appointments, forwarding patient letters, and liaising with patients, relatives and carers.
Answer the telephone, resolve patient queries, receive and return calls to Consultant Physicians, GPs, medical companies, and other medical personnel. Take and relay messages in a professional manner, enabling the department to provide an efficient and effective clinical service.
Maintain appointment lists (partial and full booking), investigate if patients have been waiting longer than expected, and competently use various electronic Trust‑wide clinical systems including OASIS, Bluespire, Allscripts PAS, EZ Notes and ICE.
Develop and maintain filing systems for patients’ clinical investigations and departmental correspondence (e.g. equipment maintenance).
Job responsibilities
Job Purpose
To provide full Admin and Clerical support to the Cardiopulmonary Department at WRH, using advanced keyboard skills and database programmes to manage, prioritise and organise the daily departmental workload.
Key Duties
* Maintain appointment lists via partial booking and timely booking of appointments to maximise department capacity.
* Outcome and coding of all patient attendances on PAS.
* Waiting‑list management and access to local and national wait‑list statistics to prioritise appointments in line with national waiting‑list targets.
* Liaise directly with directorate management to expedite clinically urgent patient appointments and log wait patients to prevent breaches.
* Register referrals and communicate with clinical teams to triage and prioritise resources and appointments.
* Liaise and exchange information with other departments, secretaries, staff, patients and carers.
* Work independently, manage and prioritise daily workload.
* Answer the telephone, resolve patient and relative queries, receive and return calls to Consultant Physicians, GPs, medical companies and other medical personnel.
* Take and relay messages in a professional manner, enabling the department to provide an efficient and effective clinical service.
* Open, sort, distribute and prioritise daily post and Cardiopulmonary requests and reports.
* Competently use the various electronic Trust‑wide clinical systems including PAS, Bluespire, EZ Notes and ICE.
* Develop and maintain filing systems for patient and departmental correspondence.
Training and Supervision:
Train new members of staff in the Admin and Clerical departmental procedures.
Undertake regular Trust mandatory training.
Adhere to all Worcestershire Acute NHS Trust policies and procedures.

Person Specification
Desired attributes include strong organisational skills, excellent communication, and a proactive approach to problem‑solving.
Qualifications
* GCSE in Maths and English at C or equivalent.
* Administrative, Clerical or IT qualification.
Experience
* Experience in organising and scheduling.
* Experience in resolving telephone queries.
* Training in telephone management.
* Experience in customer service.
