We’re looking for a proactive and organized Office Administrator to support our team and help streamline our office functions.


Job Summary:

As an Office Administrator at Softmate Ltd, you will be responsible for managing day-to-day office operations, providing administrative support to team members, and ensuring a smooth, productive working environment. You will be a key point of contact for clients, suppliers, and team members, contributing to a positive workplace culture and helping the team achieve our business objectives.


Key Responsibilities:

* Oversee and maintain office organization, ensuring a clean and efficient work environment.
* Manage schedules, appointments, and meetings for team members.
* Handle office communication, including answering phone calls, responding to emails, and greeting visitors.
* Assist with HR tasks such as onboarding new employees, maintaining employee records, and scheduling interviews.
* Coordinate with vendors for office supplies, equipment maintenance, and other needs.
* Manage filing, documentation, and data entry to keep records up-to-date and accessible.
* Support financial administration tasks, including invoicing, expense reporting, and budget tracking.
* Facilitate communication between departments and support project administration as needed.


Qualifications:

* Proven experience as an Office Administrator, Administrative Assistant, or similar role.
* Excellent organizational and multitasking skills.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic knowledge of office equipment.
* Strong communication skills and a friendly, professional demeanor.
* Ability to manage time effectively and prioritize tasks.
* Knowledge of basic bookkeeping and office management is a plus.
