Spire Regency Hospital has an exciting opportunity for an experienced individual to join our outpatient appointments team as Outpatient Administrator on a Fixed term basis to cover maternity leave

Working Hours: Between 8 am and 6 pm
Contract Type: Fixed-term for 12 months
As Outpatient Administrator you will ensure the provision and maintenance of an efficient patient appointments service within the hospital.
Duties and Responsibilities
1. Provide and maintain an efficient bookings system for all outpatients using a computerised system (SAP)
2. Manage the telephone lines in an effective and timely manner
3. Provide and maintain an efficient diary for all outpatient clinics including both consultant and nurse led clinics (making and changing appointments, clinic changes and cancellations)
4. Manage and process patient referral letters and any associated documentation, confirming details with patients/consultants and secretaries as appropriate

6. Respond to enquiries from patients, members of the public and consultants in a timely, courteous, and efficient manner either by telephone or letter. Ensure an accurate record of the communication is held.
7. Ensure that the COBPS (consultant online booking and payment service) and insurer direct booking portals are both maintained effectively and in line with KPI’s
8. Maintain departmental electronic and manual filing systems accurately
9. Liaise closely with patients, consultants and clinical teams in relation to any special requirements or individual requests
Who we're looking for
10. High standard of secondary education with demonstrable literacy and numeracy skills
11. Track record of successful delivery in a similar role, in an office and / or customer service environment
12. Experience of handling high call volumes in a fast paced environment
13. Excellent customer service skills and telephone skills
14. Strong IT skills
15. You must also have excellent interpersonal and verbal and written communication skills
16. A team player with a can-do attitude
17. Previous Healthcare experience would be advantageous
