​ ​ Hours: 18 hours Per Week ( Term Time) 13.00 – 17.30 Monday – Thursday Responsible to: Office Manager ​ ​ General: To work as part of a team providing secretarial, administrative and clerical support under the direction of the Office Manager. The applicant’s main duties will be to cover reception and administrative tasks, including supporting with the EHCP Annual Review process, and to monitor the transport for pupils leaving the site. Monday – Thursday 13.00 – 14.00 cover reception 14.00 – 16.00 office administration tasks 16.00 – 17.00 cover reception 17.00 – 17.30 transport monitoring ​ The Receptionist is the first point of contact for professionals, parents and visitors coming to Mary Hare and therefore it is vital that this person has a smart appearance, is easy to approach, is a ‘people person’, is pleasant and able to manage/remain calm in an occasionally very busy environment. A varied range of tasks are required and there is a need for flexibility and initiative in the performance of any relevant duties. ​ ​ Main Duties and Responsibilities: Reception and Office Administration Operating the barrier intercom Welcoming visitors Accepting deliveries/sorting post Answering pupils/parents’ queries Use the School Information Management System Make bookings for rooms on a web-based booking system Franking the post and managing the franking machine Maintaining the Reception Area Electronic iPad payments for staff lunch tickets or other payments as required Responding to general enquiries over the telephone and or email and directing to the relevant member of staff Assisting with all aspects of school reports, grade cards, Annual Review paperwork, including the distribution of reports, and any other administrative work as requested by the Office Manager ​ Main Duties and Responsibilities: Transport Assistant Operating the barrier intercom Supervising pupils waiting for collection Communicating with Residential Houses/prep supervisors to locate pupils when needed Checking taxi drivers’ identification Ensuring pupils leave with the appropriate adult (whether taxi, parent/carer) Maintaining accurate records of taxi collection details ​ ​ Person Specification Education Attainment General Secondary Education or equivalent (English and Maths essential) Knowledge and Experience Essential Desirable Experience with Microsoft packages, namely; Word, Excel, PowerPoint, Access and Outlook Experience of working in a fast-paced office environment Client/customer liaison skills Experience and knowledge of SIMS Experience of working in an educational environment Awareness of Safeguarding requirements and good practice within an education setting Skills and Personal Qualities Excellent communication skills to enable effective dialogue with colleagues, staff, visitors and where applicable, students Organised and self-motivated, ability to prioritise in order to meet targets and deadlines Able to perform well and remain professional whilst under pressure Dedicated team-player, who strives for excellence and leads by example Tactful and discreet, whilst mindful of observing Safeguarding and professional standards Displays a smart and professional appearance, representing the School in a positive manner Reliable and stable Well-developed problem-solving skills Enthusiastic, with an eagerness to learn new skills and a commitment to personal continuous development High level of accuracy and attention to detail Self-motivated and able to work alone without direction Adaptable and flexible with working patterns when required Committed to contributing toward the School community Good numeric and computer skills (Microsoft Outlook essential) Practical and constructional Essential Values, Behaviours and Attitudes All employees are expected to actively promote and demonstrate the six core values of the School: Learners First Community is Key Integrity & Respect Empower & Energise Others Being Accountable Excellence ​ Benefits: As well as an inclusive and supportive work environment, and a stunning location benefits also include a generous pension scheme, subsidized canteen, free on-site parking, discounted tickets for Arlington Arts Centre and a 24/7 Employee Assistance Program. ​​ How to Apply!
