Role Title: Executive Personal Assistant (Dentistry – Confidential, Discreet & Project Management Support) Location: Hybrid – Remote with Occasional Travel to Knightsbridge / Earl’s Court Contract Type: Full-time Role Overview: We are seeking a highly professional and discreet Executive Personal Assistant (PA) to support a senior executive within our dental organisation. This role combines high-level administrative support with project management responsibilities, requiring exceptional organisational skills, sound judgment, and the ability to manage sensitive clinical and business information with absolute confidentiality. The successful candidate will play a pivotal role in supporting executive operations and driving strategic initiatives in a regulated, patient-focused environment. Key Responsibilities: The Executive PA will provide confidential, high-level administrative and personal support to the executive. They will manage complex calendars, coordinate clinical and business meetings, and arrange travel logistics. Handling confidential patient, clinical, and business documentation in compliance with dental and healthcare regulations (such as GDPR and CQC standards) will be essential. The role involves acting as a liaison between the executive and internal teams, dental professionals, suppliers, and external stakeholders. The PA will draft, proofread, and manage sensitive correspondence, reports, and presentations, while also maintaining secure filing systems for both digital and physical confidential records. Support with personal tasks and errands will be expected, always with discretion and professionalism. In terms of project management, the PA will assist in planning, coordinating, and executing strategic projects such as clinic expansions, technology rollouts, or compliance initiatives. They will track timelines, deliverables, and budgets, ensuring alignment with organizational goals. The role includes preparing documentation, reports, and presentations for stakeholders and facilitating communication between project teams and the executive to ensure timely updates and resolution of issues. The PA will monitor progress, identify risks or delays, recommend solutions, and support collaboration across clinical, administrative, and operational teams. Key Requirements: Candidates should have proven experience as an Executive PA or in a similar role, ideally within dentistry, healthcare, or clinical practice management. They must demonstrate the ability to handle confidential and sensitive information with integrity and have a strong understanding of dental practice operations, compliance, and patient confidentiality. Experience in project coordination or management is important, with a good understanding of the project lifecycle and tools. Strong organisational and multitasking skills with excellent attention to detail are essential, as is proficiency in Microsoft Office Suite and project management tools such as Asana, Trello, or MS Project. Strong interpersonal and communication skills are required, with the ability to interact effectively at all levels. The candidate should remain calm under pressure, be adaptable, and solutions-focused. Desirable Attributes: Familiarity with dental terminology and clinical workflows is advantageous. Experience supporting C-suite executives or practice owners in a dental or healthcare setting is preferred. A project management certification, such as PRINCE2 or PM,P would be a plus.
