Job overview

This is a fantastic part time opportunity working in the General Surgery department as a Medical Secretary.

Our administration staff are the engine that keep our hospitals and services running smoothly and provide excellent business support to our staff and patients. If you’re passionate about making a difference, have solid IT and organisational skills and an eye for detail, our Medical Secretary role could be the job for you.


Main duties of the job

The post holder is responsible for the organisation of their secretarial team including the allocation of tasks. Using their initiative, skills, knowledge and experience they will manage, prioritise, plan and organise their own time and the workload of their team, ensuring that agreed targets are achieved, whilst maintaining the highest standards to the mutual benefit of the patients and the Trust.

The day-to-day workload supervision of the Support Medical Secretaries and audio typists which form their team.

The post holder will be the main point of contact for patients, consultants and other service users ensuring full service is provided.

The post holder will be required to manage and maintain awaiting test results access plans and patient tracking lists, to ensure patients are progressed through their pathways in a timely manner in order to meet local and national targets, and communicate to patient and other stakeholders. They will be required to oversee the accurate and timely inputting and maintaining of data using Trust IT systems, together with associated correspondence and administrative duties, ensuring that standard operating procedures are adhered to.

Person specification


Qualifications

* Educated to GCSE level Including English and Mathematics at grades C/4 or above or equivalent qualifications/ experience
* RSA/OCR stage III (or equivalent) word processing or audio typing/equivalent experience
* ECDL
* NVQ level 3
* Educated to A Level standard or equivalent


Experience

* Relevant medical secretarial experience.
* Experience in audio typing.
* Accuracy of spelling and grammar.
* Good knowledge of office practice and procedures.
* Experience of working with patient pathways and the 18 week referral to treatment target.
* Previous experience of managing patients through 18 week and cancer pathways.
* Previous experience of Trust data systems.
* Current or previous NHS experience


Further Training

* Ability to prioritise workload and meet deadlines.
* Clear understanding of patient confidentiality
* Awareness of medical records issues e.g. Data Protection.
* Good computer and keyboard skills with the ability to use Microsoft packages including Word and Excel.
* Exceptional communication and organisational skills
* Flexible approach to working
* Methodical
* Accurate
