About the role
The Building and Facilities Officer will play an important role in improving the functionality, safety, and appearance of our Oxford office, working closely to support the Buildings and Facilities Manager. We seek a proactive, detail-oriented professional capable of supporting all aspects of facilities, maintenance, safety, security, and facility enhancements. This position's primary objective is to cultivate and maintain an environment that places the utmost importance on the well-being, comfort, efficiency, and functionality of all office occupants—be they employees, clients, or visitors.
Initial priorities for this role will be optimizing the current office space, focusing on Health & Safety compliance, including organizing employee training, working with suppliers, maintaining records, and supporting with the relocation to the new head office.
Key responsibilities
Facility Maintenance and Operations:
* Coordinate daily facility operations, including cleaning, maintenance, and repairs
* Ensure that all building systems (HVAC, electrical, plumbing, etc.) are operating efficiently and safely
* Support the office relocation Conference room set ups for meetings/training
* Maintain accurate records of facility maintenance, repairs, and safety incidents
Safety and Security:
* Maintain, safety and security protocols
* Maintain compliance with local building codes, health and safety regulations, and environmental standards
Vendor Support:
* Generate purchase orders and track monthly invoices
* Ensure site supplies are kept up to date as in consumables for all suppliers
Environmental Sustainability:
* Promote sustainability initiatives, including energy conservation, waste reduction, and eco-friendly practices
Employee Wellness and Comfort:
* Address employee concerns related to the physical workspace, including lighting, temperature, and ergonomics
What we are looking for
Required attributes:
* Experience in an administration, customer service, project management or events management role
* A self-starter who can work with minimum supervision and hit the ground running
* Ability to multi-task and re-prioritise in a fast-paced and demanding environment
* Resourceful and tenacious in approach to problem solving
* Excellent PowerPoint, Word and Excel skills
* Exceptional organisational skills
* Versatility, ambition & a desire to be challenged
* Ability to communicate confidently and effectively with high-level executives
* Flawless attention to detail and a professional etiquette
* Fluency in English at C1 level is essential (written & oral)
Desirable attributes:
* Basic IT knowledge (Laptop Set-up, Conference Room preparation)
* Experience of working with an ERP System
