Theatre Medical Secretary

Responsibilities
* Live typing of operation notes from verbal dictation and audio transcription.
* Plan, organise and facilitate meetings (including training events); take minutes, circulate agendas and minutes via Microsoft Teams and email.
* Prepare and circulate theatre lists, callcards and weekly list planning meeting schedules.
* Produce and circulate staff rotas, liaise with all levels of staff internally and externally.
* Record and manage staff sickness, absence and annual leave on the eRoster system.
* Support the Theatre Management Team with administrative tasks, including answering telephone calls politely and discreetly.
* Order stationery and other office supplies, ensuring efficient processes and quality of correspondence.
* Mentor, train and supervise relevant staff as directed by the Administration Services Coordinator.
* Maintain and update the Theatre Management System, including real‑time amendments to theatre sessions and smartcard requests.
* Coordinate compliance with mandatory training, appraisal activity, and auditing processes.
* Assist with patient referrals, ensuring prompt completion and follow‑up using the PAS system.
* Serve as reception desk cover in the absence of the Clerical Administrator and perform general office duties (copy typing, mail handling, filing).
* Deal with staff concerns in line with Trust policy and ensure all duties are performed flexibly and in accordance with department SOPs.
Qualifications
* GSCE Standard or Higher.
* Valid RSA/OCR or equivalent typing qualification.
Experience
* Word Processing and audio‑typing skills.
* Proficiency in Microsoft Office Suite.
* Ability to work as part of a team.
* Medical terminology knowledge and minute‑taking experience.
* Minimum 2 years’ experience in an NHS environment.
* Previous medical secretary or medical audio‑typing experience.
* Understanding of Trust internal policies.
Skills
* Effective workload management and prioritisation.
* Excellent word‑processing and keyboard skills.
* Accurate maintenance of computerised and manual filing/documentation systems.
* Time‑management abilities.
* Knowledge of Trust computer systems.
