As a Travel Coordinator, you will support our Buying, Merchandising & Design teams by managing travel arrangements for business needs across the UK and internationally. You will be responsible for staying on top of the critical path, meeting schedules, coordinating diaries, and handling general admin duties such as stationery and expenses. This role ensures that travel plans and departmental schedules are organised efficiently, cost-effectively, and aligned with company needs. You will also assist with related admin and expense processes, working closely with team members to ensure all arrangements are accurate and well-organised.
Responsibilities:
* Coordinate end-to-end travel arrangements for the Product team, including booking flights, trains, hotels, and ground transportation, ensuring all travel is within budget.
* Support general office administrative duties such as ordering stationery and booking meeting rooms.
* Assist in planning and scheduling key meetings and product-related trips, working with internal teams to coordinate schedules across functions.
* Monitor and manage active travel plans, resolving issues like delays, cancellations, or last-minute changes proactively.
* Maintain accurate records of all travel bookings, costs, itineraries, and related documentation.
* Process invoices and expenses for travel and trips in a timely and accurate manner.
* Prepare travel packs, compile itineraries, and support documentation for attendees.
* Stay informed on travel regulations, health and safety requirements, visa processes, and entry rules for destinations to ensure compliance.
* Liaise with travel vendors and service providers, ensuring quality service and negotiating rates where possible.
* Provide occasional diary support for members of the Senior Leadership Team, including coordinating meetings and catering bookings.
