Job Description: The Executive Personal Assistant to the Chairman & CEO undertakes a variety of administrative tasks to support the CEO’s daily activities and long-term agenda. They manage correspondence, schedule meetings, arrange travel, and ensure that all inquiries and requests are handled appropriately. Key Responsibilities: Our ideal candidate will provide high level confidential support to the CEO by providing a full secretarial and administrative service, ensuring that effective planning and administrative systems are in place and maintained efficiently and effectively. Key responsibilities include: To act as a first point of contact to the CEO by dealing with correspondence and phone calls. To proactively manage and coordinate the diary of the CEO by prioritising and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided. Support the CEO to deliver on key priorities by liaising confidently with internal and external stakeholders via excellent interpersonal skills. Respond to queries, correspondence (including sensitive information) and telephone calls in a timely and professional manner. Plan and organise travel and accommodation when required. Maintain effective filling and data storage including emails and retrieval systems ensuring the administrative needs of the CEO are met. To provide full personal assistant support when dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the CEO. Deal with incoming and outgoing mail and emails as required, drafting replies where appropriate, linking with previous and/or related correspondence, obtaining further information as and when necessary and initiating enquiries. To provide support for Board of Director meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers and reports, take minutes and following up action points. Supporting the CEO to keep the Board of Director informed about the work of the organisation and their appropriate training and induction. To service meetings of the Senior Management Team and Executive Committee by drafting and collating papers and reports, preparing manageable agendas, taking minutes and following up on actions points. To plan and manage key organisational events as required. Carry out all the duties with complete discretion and a high regard for confidentiality. Any other duties relevant to the needs of the organisation and as directed. Educational Requirements: Bachelor’s degree in business administration, management, or related field is preferred. Work Experience: Previous experience of working at Executive level and providing high-level administrative support to senior management. Experience of providing support to a Board of Directors or similar high-level committee. Experience of assisting with conferences and events. Technical Competencies: Excellent administrative skills, including the ability to identify administrative needs and develop and maintain appropriate systems to meet them. Ability to take accurate minutes, including being able to interpret and sum up complex discussions concisely. Ability to draft routine correspondence and reports. Ability to handle complexity and maintain accuracy. Good negotiation skills. Excellent interpersonal and communication skills including diplomacy. Excellent time management skills with the ability to manage multiple priorities and Excellent knowledge of Microsoft Office applications Ability to convey information to people clearly and simply. Ability to forward plan and manage a complex and busy diary. Strong verbal, written, and interpersonal communication skills. Meticulous attention to detail. Behaviour: Self-starter with a positive ‘can do’ attitude. Adaptable, motivated, and well organized Ability to adapt to changing priorities and work under pressure. Ability to work effectively with colleagues at all levels and a wide range of senior external contacts. Ability to prioritise, meet deadlines and manage the conflicting demands of a busy workload. Ability to work flexibly and occasionally out of office hours. Complete discretion and an understanding of the need for confidentiality.
