We are on the search for an experienced and energetic Executive Assistant, ready to jump straight into action. This is a 6-month full-time maximum term contract based in our North Sydney office. As an Executive Assistant, you will be a key player in ensuring the smooth operation of the executive office and will contribute significantly to the overall success of the organisation. Salary: Competitive salary plus super PLUS annual bonus incentive So, what’s the job? Providing executive assistance and support driving strategic analysis to, 2 executive leaders with supports potentially required to other executive leaders if required. You’ll coordinate and manage the executives’ schedules, including arranging meetings, conferences, and appointments (with managing different time zones). Also anticipate schedule conflicts and proactively resolving these conflicts You’ll coordinate domestic and international travel, including visas, accommodation, and transport, ensuring compliance with company policies and timely communication of travel details You’ll provide end-to-end support for meetings and events, including material preparation, minute-taking, action tracking, and drafting high-quality documents and presentations You’ll manage communication and relationships with internal and external stakeholders across time zones, acting as a key liaison for executive leaders, ensuring timely responses, clear information flow, and strong professional connections You’ll support project delivery by coordinating and managing budgets (including submissions, forecasts, and expense monitoring), tracking risks and metrics, ensuring compliance with policies and regulations and overseeing small projects to achieve defined objectives and business outcomes And what are we looking for? To be successful in this role - You’ll have proven experience as an Executive Assistant or in a similar administrative role supporting executives with global responsibilities You’ll have strong communication, organisational and multi-tasking skills to manage/coordinate calendars, events, appointments across local and global time zones You’ll have excellent verbal and written communication skills with the ability to tailor communication style depending on the audience You’ll be able to manage priorities and pursue tasks to completion within deadlines with high accuracy and attention to detail You’ll have the ability to adapt to work independently in a dynamic and fast-paced environment So, why choose us?
