MS Nurse Specialist Secretary

Job overview

Provide excellent secretarial and administrative support for a team of MS specialist nursing team within Neurology.

Including – ensuring all clinic letters are typed when patients have attended clinics.

Updating Blood Monitoring databases, completing forms and sending out letters for patients to ensure they attend for blood tests to ensure they are on the correct treatment plans.

Working with the DMT Co‑ordinator to ensure there are no delays in treatment plans in managing their MS.

Working within an administrative team to ensure all nursing notes/correspondence is available as needed for when patients are attending clinics.

Dealing with enquiries from internally and externally to the Trust.


Main duties of the job

Audio typing of various correspondence.

Managing the Blood Monitoring Service, ensuring databases up to date at all times and blood forms are sent out to patients to attend for blood tests.

Deal with Outpatient queries and ensuring all relevant information is available for MS nurses when holding Outpatient Clinics.

Cover secretaries absences within the wider team of the Specialist Nursing Teams.

Working closely with Consultants, Nurses and DMT admin team ensuring that treatment plans are in place.

Working with the Trust EPR system.

Assist with training of new or less experienced staff within the team.

Person specification


Qualifications

* GCSE standard of education including English and mathematics at grades C/4 or above (or equivalent)
* A-level standard of education or equivalent.
* I.T. qualifications (e.g. NVQ level 2 or above or EDCL)
* Typing qualifications (e.g. RSA stage 2/OCR level 3 or above)


Experience

* Familiarity with out‑patient healthcare services.
* Experience using patient administration systems or similar databases
* Experience using Microsoft Office
* Demonstrable track record achieving deadlines and targets
* Experience communicating directly with service users/customers, carers & relatives, both face‑to‑face and over the phone
* Demonstrable track record working with targets
* Evidence of developing and maintaining effective working relationships with a variety of people and professionals
* An awareness of the challenges currently facing the NHS
* Relevant experience working for the NHS.
* Experience working within Neurosciences or the Head & Neck Care Group.
* Experience using Lorenzo and other Trust I.T. systems.
* Audio typing and transcription experience.
* Minuting‑taking.


Further Training

* Evidence of further job‑relevant education and training
* Attendance on relevant STH courses (e.g. managing attendance, capability, conduct and/or conducting appraisals).
* Customer care/service training.


Skills

* Awareness of STH Trust policies and procedures.
* Excellent written and verbal communication skills.
* Good standard of spelling and grammar.
* Excellent interpersonal skills encompassing both teamwork and customer service.
* Highly developed organisational skills including the ability to multitask
* Ability to prioritise one’s own workload and that of others.
* Ability to work under pressure in a fast‑paced environment.
* An eye for detail whilst maintaining an active appreciation of the bigger picture
* Ability to solve problems and respond to issues as they arise.
* Excellent standard of I.T. literacy and keyboard skills including the use of Microsoft Office software packages.
* Working knowledge of confidentiality, related legislation and codes of practice.
* Ability to work on a computer monitor/VDU for extended periods of time.
* Knowledge of STH waiting list policies including out‑patient targets.
* An understanding of clinical governance, including risk assessments and incident investigation and resolution.
* Familiarity with medical terminology.
* Demonstrable leadership skills.


Other Factors

* Willingness and ability to travel to other hospital sites when required.
