Role Overview
We’re looking for a highly organised and proactive Personal Assistant to provide professional, discreet, and reliable support to the Regional Director. This role is critical in enabling the Director to operate effectively across a wide range of responsibilities.
Key Responsibilities
Manage a complex and ever-changing diary, prioritising meetings based on urgency and importance, and scheduling both internal and client-facing appointments.
Take detailed meeting minutes, assist with creating internal presentations, and compile input from senior team members and other stakeholders.
Deliver comprehensive administrative support, including maintaining databases, producing reports, and drafting client communications.
Coordinate travel arrangements and accommodation bookings as required.
Monitor and manage email correspondence with initiative and professionalism.
Serve as a point of contact for clients, ensuring a high level of service and regular communication.
Prepare materials and briefings for meetings with both internal teams and external clients.
Circulate key information across the regional team in a timely and effective manner.
Collaborate closely with local office heads, executive assistants across the region, and the business management team.
Support the wider administrative team in Bournemouth, providing cover during absences when needed.
Skills & Experience Required
Experience in a PA, assistant, or secretarial role.
Competent in Microsoft Office, particularly Word, Excel, PowerPoint, and Teams.
Excellent attention to detail and a high level of accuracy.
Strong organisational and time management skills with the ability to prioritise competing demands.
Confident in building relationships at all levels and comfortable engaging with clients by phone and email.
Self-motivated with the ability to set and meet personal objectives.
Trustworthy, discreet, and confident handling sensitive or confidential information.
A solid understanding of the Director’s business area and a willingness to develop broader knowledge of the organisation over time.
