Overview
Oxford University Hospitals NHS Foundation Trust is a large NHS teaching trust offering a wide range of general and specialist clinical services and a base for medical education, training and research.
Responsibilities
* Integrate with staff and clients of Oxford Centre for Enablement, other trust staff, GPs, and health care professionals within Oxfordshire Wheelchair Service (OWS) and Wheelchair Maintenance Service (WMS).
* Provide comprehensive administrative support to OWS clinical staff and WMS service.
* Lead specific areas of administration within the team, prioritising own workload and that of others in staff absence.
* Process patient referrals, coordinate appointments using ELMS2, book transport, liaise with ambulance and vehicle services, and maintain strict waiting‑time adherence.
* Manage equipment procurement and maintenance: raise repairs, collect orders, schedule deliveries, update serial numbers in ELMS2, and coordinate with Approved Repairer and suppliers.
* Answer telephone calls, handle emails, resolve queries from patients, professionals, and other members of the public.
* Assist other members of the administration team with tasks as needed.
* Maintain confidentiality and comply with the Rehabilitation of Offenders Act 1974 and Disclosure and Barring Service disclosure requirements.
Qualifications
* Excellent computer literacy, especially Microsoft Office applications; prior experience using ELMS2 or NHS IT systems is advantageous.
* Good organisational, prioritisation, and multi‑tasking skills; ability to work well independently and as part of a team.
* Strong verbal and written communication skills with a calm, confident telephone manner.
* Previous experience working in the NHS is helpful but not mandatory.
* Flexible and able to work under pressure to meet tight deadlines.
