The Role

The EA plays a key role in the smooth running of Bernadette, facilitating effective leadership and supporting efficient ways of working. As EA, you will manage the smooth and efficient running of the Managing Directors, Chief Design Officer, Chief Strategy Officer and Head of Delivery’s busy diaries, handling all correspondence and administration that goes along with it. You’ll be responsible for managing emails where appropriate and will be expected to be highly skilled in arranging itineraries and to be the backbone of the team, the Senior Leadership Team’s trusted right hand. You will also be the agency’s eyes and ears, anticipating needs and delivering proactive, efficient support to keep Bernadette moving toward our shared business goals and vision.

As EA, you will be a wizard in navigating Google Workspace and also very comfortable using Word, Excel, PowerPoint, and Keynote. You will build close relationships with all VCCP agencies, clients, liaising with all levels of management. As you will be dealing with confidential material, discretion is paramount. You should have a pleasant and friendly manner, a great sense of humour, and be ‘switched on’ with plenty of common sense and a ‘can do’ attitude. This role will often involve working under pressure, so a calm and unflappable composure is also required. You should be highly organised, proactive, and diligent, thriving on helping others. You should be unfazed when working at a face pace and reliability and flexibility are a must.

Alongside day-to-day diary and schedule management, you will provide essential support to the leadership team and collaborate with various teams to create presentations for new business and client meetings, while crafting engaging proposals and presentations with their guidance and support. Additionally, you will manage our agency induction process for new starters, our monthly agency meeting and internal social events. You will wear many hats to keep the agency running smoothly. You will be the brand guardian, the go-to person for new starters, and the driving force behind onboarding. You will also oversee kitchen upkeep, maintain general floor tidiness, and ensure office support is alerted to any issues that need attention. As a true people person, you will be the cornerstone of the department, always two steps ahead.

About you

We are looking for someone who is established in all these areas with a proven track record as an EA in an agency environment:

Skills and experience

* Understanding business priorities
* Extensive and complicated diary management
* Collaborating closely with Heads of Departments to ensure everything runs smoothly
* Acting as a gatekeeper
* Preparing for internal and external meetings
* Ensuring rooms are booked and ready, pre-reads/presentations/CVs are printed, and all attendees are in place
* Booking travel and managing itineraries with efficiency
* Managing timesheets and expenses in a timely manner
* Assisting with the management of ‘The Makers Floor Tour,’ ensuring the right team is assembled and properly briefed
* Helping manage the end-of-month financial reviews
* Assisting on Bernadette’s onboarding for new employees - ensuring a seamless welcome experience
* Assisting on the annual appraisal process for Bernadette
* Managing internal projects like: Merchandise, ‘Afternoon Tea at Bernies’, Internal events
* Fostering a great work culture
* A key point of contact and face of the team
* Being the social heartbeat of the company - organising company events, team-building activities, and spontaneous moments that bring people together
* Conducting research to support business strategies, presentations, and decision-making
* Creating agendas and taking minutes with precision
* Monitoring and proactively managing inboxes
* Organising interns/work experience placements
* Courier and taxi bookings
* Occasional personal errands
* Tea, coffee, lunch runs where necessary
