About the Role
We are looking for an exceptional PA to provide comprehensive and full administrative, clerical and secretarial support to the cross‑site Associate Director of Midwifery and Heads of Midwifery and site‑based Midwifery Matrons, in order to deliver an efficient and cost‑effective service.
As well as having excellent communication skills and organisational abilities you will need to be a team player with advanced IT skills, experience of working in a pressurised environment and the ability to work autonomously, prioritising your own workload and acting on your own initiative.
You will undertake a large proportion of administrative duties exercising your own initiative, discretion and skill, and will work flexibly with the Assistant Service Manager to ensure key daily/weekly/monthly tasks and reports are completed on time.
Based within the clinical areas of the department, a part of the role will include appropriate public relations and close liaison with other colleagues.
You will maintain confidentiality, adhere to information governance and ICT Security Policy, demonstrate discretion and respect at all times, and communicate effectively with all members of the midwifery team, supporting teamwork through effective dissemination of information. You will also communicate with other departments, agencies and patients when appropriate and provide hospitality as required.
In addition, you will manage various administrative tasks on behalf of the Associate Director of Midwifery and Heads of Midwifery/Site Leads, input and maintain high‑quality data, meet deadlines and ensure papers are available in time for distribution, and provide a high‑quality, comprehensive and responsive secretarial and administrative support, including typing, photocopying, scanning, filing, completing online e‑forms, printing and filing for reference.

Key Responsibilities
* Maintain confidentiality, adhere to information governance and ICT Security Policy, demonstrating discretion and respect at all times.

* Ensure deadlines are met and papers are available in sufficient time for distribution.
* Provide high‑quality, comprehensive and responsive secretarial and administrative support for the Midwifery Department, including typing, photocopying, scanning, filing and completing online e‑forms, printing and filing for reference before submitting.
* Use office stationery and equipment efficiently and cost‑effectively.
* Take minutes of meetings as required.
* Take responsibility for a complex and varied workload, ensuring efficient coordination, prioritisation and achievement of short and long term goals.
