Job Purpose We are looking for a reliable Project/Programme Administrator to undertake administrative tasks, ensuring the team working on the programme has adequate support to work efficiently. The tasks of the Programme/Project Administrator will include arranging meetings, workshops, and minutes, across the Dynamics 365 (Unify) program. The ideal candidate will be competent in prioritizing, working with little supervision, be self-motivated and trustworthy. The Programme/Project Office Administrator ensures the smooth running of this critical company transformation programme and contributes in driving sustainable growth. 12-month contract (with possible extending) About Group Technology Group Technology enables the organization to achieve its strategic direction whilst driving shareholder value. It further develops and manages core applications enabling smooth operational running of the organization across all functions. We drive and deliver future roadmaps aligned to the overall strategic direction of the business. Group Technology support services to over 7500 end users across the globe, manage the information security operation and safeguard all our assets. Our core Group Technology functions include Technical Architecture, Network & Voice, IT Security, Service Delivery, Solutions Delivery and Asset Management. Group Technology has a global presence across all regions with over 400 staff. Job Overview Key Responsibilities Coordinate Programme Office activities and operations to secure efficiency and compliance to company policies and for the benefits of the programme Manage agendas/travel arrangements/appointments etc. for the programme leadership team Diary management, forward planning, email and communication management Organising meetings and logistics - room, materials, clients, meeting reconfirming, refreshments etc Manage daily administrative tasks Support budgeting procedures Create and update records and databases with personnel, financial and other data Submit timely reports and prepare presentations/proposals as assigned Work with third party consultancy and other vendors Interpret instructions and issues arising and then implement actions appropriately Assist colleagues whenever necessary Skills & Experience Proven experience in Administration (Programme or Project exposure a nice to have) Excellent organizational and leadership skills, able to deal with a fast-paced environment Familiarity with office management procedures and basic accounting principles Excellent knowledge of MS Office Outstanding communication and interpersonal abilities, with excellent command of written and spoken English is essential Great interpersonal skills, with emotional intelligence Ability to interact with both internal and external senior level individuals The ability to work to tight deadlines and adaptable to working in a fast paced ever changing environment Ability to work on their own initiative, solving problems as necessary High level of integrity and confidentiality Excellent organisational and time-management skills with a high attention to detail Life at RWS At RWS, we're here for one purpose: unlocking global understanding.
