Responsibilities
* Produce accurate correspondence in a timely manner, typing from audio dictation.
* Provide day‑to‑day support to the PA/Medical Secretary team.
* Update and input patient information into the appropriate systems and spreadsheets.
* Book, reschedule and cancel appointments/clinics.
* Monitor clinic capacity.
* Complete necessary actions required from correspondence and requests received.
* Provide comprehensive support to consultants and speciality teams, including nurse practitioners and clinicians.
* Quality‑check clinical documentation.
* Support 18‑week Referral to Treatment pathways, including tertiary referrals to external trusts.
* Keep track of referrals to ensure patients are reviewed promptly.
* Arrange follow‑up appointments in conjunction with the RTT patient pathway.
* Check against clinical letters to ensure appropriate follow‑up arrangements and investigations.
* Liaise with speciality medical secretaries.
* Deal with enquiries from patients, consultants, junior doctors and colleagues by telephone or face‑to‑face.
* Ensure all correspondence relating to patient care is acted upon in a timely manner.
* Work across both sites.
Qualifications – Essential
* Excellent communication skills.
* Ability to use own initiative and respond to new challenges.
* Self‑motivated and able to work with limited supervision.
* Ability to manage and prioritise own workload.
* Ability to accurately maintain computerized and manual filing/documentation systems.
* Ability to work as part of a team.
* Ability to manage difficult and sensitive situations.
* Willingness to undertake further training as required.
* Extensive knowledge of medical terminology.
* Audio‑typing skills.
* Excellent IT skills with experience of all Microsoft Office packages.
Qualifications – Desirable
* Knowledge of internal PAS system.
* Ability to supervise and motivate a team.
* Time‑management skills.
* Excellent interpersonal and influencing skills.
* Understanding of Trust internal policies and a flexible approach when required.
* Ability to build and maintain good working relationships, with awareness of confidentiality and Data Protection Act.
* Current employee of a LAASP organisation, educated to GCSE/O Level standard or equivalent.
* RSA/OCR Level II or equivalent.
* Word‑processing/audio‑typing skills.
* Experience working in an NHS office environment.
