Job summary
The post holder will provide a comprehensive clerical and reception administrative service, demonstrating a courteous, professional, and sensitive approach, prioritising time and flexibility. Responsibilities include maintaining records manually and on computerised systems; handling sensitive information; delivering a client-focused service; and providing clerical and word processing support for correspondence, reports, and related documentation. The role also supports colleagues during absences due to annual leave or sickness. The ability to speak Welsh is desirable; English and/or Welsh speakers are welcome to apply.
Main duties of the job
* Ensure effective communication and good working relationships with staff at all levels.
* Maintain processes and systems for all areas of responsibility.
* Provide reception duties: receiving and greeting visitors professionally and directing them as required.
* Process information requests and maintain working relationships; take accurate messages and relay them promptly.
* Act with tact, diplomacy, and discretion when handling sensitive or contentious matters.
* Take action and provide feedback, ensuring messages are relayed and actions completed.
* Maintain and improve knowledge, learning, and ability to excel in the role; act professionally, respectfully, confidentially, and compassionately at all times.
* Solve delegated problems logically and make appropriate decisions; use initiative and exercise sound judgment to seek advice or alert the Manager as needed.
* Manage own workload effectively to deliver against business priorities in a timely manner and provide timely and accurate work; respond positively to change.
