Kings Oak Capital is seeking a multi-skilled Executive Assistant, Personal Assistant, and Office Manager to provide high-level support to the CEO and ensure smooth daily operations. This is a full-time, permanent role based in Harrow, London, with visa sponsorship available for eligible candidates.

* Schedule: Monday–Friday, 8:30 AM–6:00 PM (with emergency out-of-hours support)
Role Overview
This is a high‑responsibility role requiring exceptional organizational skills, adaptability, and discretion. You will manage executive support, personal assistance, office operations, HR functions, and project coordination. The position demands hands‑on involvement in both professional and personal matters for the CEO, making you the operational backbone of the company.
Key Responsibilities
Office Management
* Oversee office maintenance, supplies, and administration
* Manage IT, phone systems, and compliance policies
* Ensure health, safety, and fire safety standards are met
* Prepare weekly reports and maintain filing systems
Executive Assistance
* Manage directors’ diaries and appointments
* Attend board meetings, prepare agendas, and take minutes
* Handle confidential documents, expense reports, and budget tracking
* Coordinate internal and external communications
Personal Assistance
* Manage CEO’s personal and family calendars
* Organize travel, events, and household management
* Oversee household staff, vendors, and tutors
* Handle insurance claims, refunds, and subscriptions
* Research and book holidays, restaurants, and activities
Project Management
* Use Asana to track tasks, deadlines, and project progress
* Circulate meeting notes and follow up on action points
* Ensure timely delivery of team responsibilities
Human Resources
* Set up and maintain HR systems and policies
* Manage onboarding, contracts, and staff exits
* Oversee holiday requests and attendance tracking
* Maintain sponsorship license processes
* Provide monthly HR reports
Candidate Profile
* Proven experience as an Office Manager, EA, or PA supporting senior management
* Strong organizational and multitasking skills
* Excellent written and verbal communication skills
* Proficiency in Microsoft Office Suite and virtual meeting tools
* Professional, flexible, and calm under pressure
* High integrity, confidentiality, and attention to detail
