Purpose of the role:
The Recruitment Administrator supports Recruitment Coordinators with administrative tasks throughout the recruitment process, including posting and screening candidates via our ATS (Blue Octopus), arranging interviews, and submitting referencing packs. The role involves supporting candidate attraction and conversion for hourly paid roles at our London Heathrow and London City sites, reporting to the Shared Services and Recruitment Manager, and assisting with hiring events and inductions. Some travel to other sites or events may be required.
This role is within a fast-paced HR Recruitment Team, crucial for the smooth running of ongoing recruitment activities.
Stakeholders:
Internal: Operations and Functional Managers, Recruitment Coordinators, HR Team, Compliance/Referencing Team
External: Service providers, Recruitment agencies, Candidates, Job Centres, Job Boards, external stakeholders
Key responsibilities:
* Advertising and maintaining vacancies on various job boards via ATS
* Collating management information and reporting regularly
* Supporting first-line screening of CVs and providing feedback
* Arranging interviews and preparing interview schedules
* Conducting initial phone screenings as needed
* Preparing recruitment packs for the Compliance and Referencing Team
* Supporting with interview feedback
* Gathering and following up on employment documentation (Right to Work, HMRC Forms, criminal checks)
* Providing general administrative support to the recruitment team
Additional duties may be assigned based on locality or role complexity.

* Experience in a fast-paced recruitment environment
* Experience using job boards
* Experience working with external agencies (desirable)
* Resilience and ability to work under pressure
* Experience with ATS systems
* Experience in the aviation sector (desirable)
