Weare looking for a dynamic Assistant Manager to join as a new role to supportour Zone Manager and Supervisors. The combined list size for the Zone is 24,000patients. You will work closely with the teams to ensure high quality; safe andefficient services are run across all 4 sites. You will also be required towork with the whole of the Health and Beyond teams and those working withinWolverhampton South East PCN to ensure we work cohesively as an organisationand Network. You will be required to travel across the sites and support allteams bringing a modern approach to developing systems, innovation andutilising your experience to develop the Zone and its teams whilst supportingthe Zone Manager.


Main duties of the job

Deputise for the Zone Manager at meetings,also representing the organisation at meetings internal/ external whenrequired

Support the Zone Manager byleading on small projects and implementing new ways of working/change inpractice

Provide cover for the Zone Managerin the event of leave/sickness

Co-ordinate and manage performancereporting for all Practices within the Zone.

Work in close liaison with Zone/HubManagers and where necessary the Senior Management Team and OperationalManager

Ensuredelivery of high-quality care to patients, actively identifying and providingevidence for CQC Tracker for the Zone.

Supportthe completion and maintenance of the CQC tracker

Assist in maintaining thepractice safeguarding registers.

Job responsibilities

This is a 25 hour per week part time role.

Job purpose/summary:

Providesupport to the Zone Manager and deputise in their absence.

Provideleadership and management to enable the Health & Beyond (H&B) Groupto meet its agreed aims and objectives within a safe, effective, efficientand profitable working environment.

Projectmanage and implement new initiatives and changes to service and caredelivery.

Monitorand support in all aspects of hub performance

Embraceinnovation and service improvement/development.

Activelyengage in due diligence and quality assurance requirements working inpartnership with other teams/professionals

Line management of practice supervisors (Zone 1)

Management Support

Monitorand evaluate performance on behalf of the Zone Manager, using a range ofsources of data will ensure the efficiency and effectiveness of all contractsand incentive schemes, indicators and priorities.

Encourageinnovation and support the Zone Manager to develop the team to workcohesively in support of each other.

Supportthe implementation of change management projects that are required across theoperational arm of the business.

Developand maintain effective communication both within the team and with relevantoutside agencies.

Helpprepare and annually update the Health and Beyond Group development plan, andsupport the implementation of the aims and objectives of safe and effectiveservice delivery.

Workas part of a team to support peers to address shortfalls in performance activelyline managing all supervisors across the zone.

Leadsmall scale change to service and organisational challenges to improveassurance, performance and/or supporting the manager in daily operations,managing patient experience, contributing to service improvement.

Administrativetasks to aid operational management, collation of information, preparation ofplans, delivering part/all of improvement plans ie incentive scheme and otherpriority core work of the practice including CQC searches to aid smoothworkflows.

Prepareand provide training identified for practice personnel, also attendingtraining in response to policy/process requirements on behalf of the business

Information managementand technology

Motivate,support and monitor staff in the use of IT; organise, oversee and evaluate ITtraining

Ensuretargets and monitoring standards for data entry and data collection aredefined and implemented

EnsureIT data security measures are sufficient

Contributeto the upkeep of accurate and useful information available on the H&Bgroup website.

Tobe able to manage IT logins, updates, orders for new starters and basictroubleshooting to support consistent IT systems

Operational Management

Activelyensure that the team comply with NHS contractual obligations in relation topatient care

Implementregistration policies and monitor patient turnover and capitation to ensurean effective balance of staff safety and patient experience

Overseeand/or develop and manage an effective appointment system to include totaltriage

Overseeteam rotas and holiday cover to ensure efficiency and safe cover

Routinelymonitor and assess team performance against patient access and demandmanagement targets

Maintainan effective complaints management system on behalf of the zone

Liaiseand develop relationships with patient groups/Time2Talk/PPGs

Convenemeetings, prepare agendas and ensure distribution of minutes as necessary

Developteam protocols and procedures, review and update as required

Ensurethat all premises are properly maintained and cleaned, and that adequate fireprevention and security systems are in place working alongside the Supervisorsand Quality Assurance Manager

Haveoverview of the procurement of equipment, supplies and services within targetbudgets

Ensurethe implementation of all relevant Health & Safety policies andprocedures and keep abreast the extent and quality of implementationsupporting audits and inspections carried out by the Quality AssuranceManager

Testdisaster recovery procedures in conjunction with the Quality Assurance &Improvement Manager

Managementof service delivery and performance, reportingincidents/complaints/significant events and/or maintenance requirements inaccordance with the processes for doing so

Supportmarketing and promotion to encourage patient feedback, organising events andengagement with patient groups whilst linking in with attached PCN teams

Project management

Workas part of a team with the operational arm of the organisation and otherteams to collectively achieve objectives set by the leadership team

Activelyengage in time limited pieces of work using all relevant project managementdocumentation

Scopeprojects and prepare proposals and, where necessary draft business case(s)for consideration

Ensureproject plans are prepared to define timelines for milestone completion

Ensureprojects and service development activities including existing delivery arein accordance with local and national guidelines

Preparehighlight reports to confirm progress and status of project(s)

Monitorand review the effectiveness of new methods of working to ensure benefitshave been realised and expected outcomes have been achieved

Identify,manage and monitor risk through maintaining project risk register(s),escalating items of concern as they arise

Financial planning and management

Supportzone/departmental specific activities within allocated budgets and seek tomaximise income as far as reasonably possible.

Supportthe Zone Manager to ensure effective planning and monitoring processes are inplace to ensure claims are made in a timely and accurate manner.

Planningand implementation of QOF workload.

Planningand implementation of PCF and IIF workloads and other incentivised activitythe hub participates in.

Planningand organisation of seasonal campaigns

The post-holder will participate inany training programme implemented by the practice as part of thisemployment, such training to include:
