EMPLOYMENT TYPE: 6 MONTHS FTC
Key responsibilities:
* This role is to take the administrative and research tasks off the Business Development team so they can focus on proactive activity.
* Capturing all leads from various streams and researching details such as size, financials, contact information, and other relevant data.
* Managing daily updates on new and existing projects.
* Being forensic and creative in research to gather as much information as possible.
Duties:
* Maintaining the Company’s pipeline report of new business opportunities in the public sector.
* Managing the Company’s CRM system for private sector opportunities.
* Administering access to online procurement portals.
* Expressing interest in business opportunities, downloading, filing relevant documentation, and distributing to the team as instructed.
* Collating and submitting clarification questions for bids as required.
* Receiving, filing, and distributing clarifications to the team.
* Assisting in drafting and revising confidentiality agreements, proposals, quotations, and external responses.
* Collating and submitting proposals, quotations, and bid responses in required formats (email, portal upload, hard copy) upon instruction.
* Preparing and submitting pre-qualification questionnaires to prospective customers.
* Supporting the team in planning and preparing for meetings and presentations.
* Supporting business development, PR, and marketing activities, including managing external website and inquiries, in collaboration with the Communications Department.
* Representing the Company to customers and stakeholders.
* Providing efficient support to CCDO, including meeting logistics, communication, expense tracking, PO generation, agenda and minutes management, and catering arrangements.
* Managing diary for CCDO.
* Managing purchase orders and receipts for CCDO and the team.
* Assisting with functional meetings, taking minutes, and following up on actions.
* Printing and administering documentation requiring CCDO signature.
* Managing transport and logistics for CCDO and functions.
* Maintaining a positive image of the C&BD function through all communications and interactions, including updating internal SharePoint sites on GENIE.
Requirements:

* Experience as an administrator in a C&BD environment with process development and implementation skills.
* Excellent communication skills.
* Superior customer service skills, with the ability to converse appropriately, clearly, and accurately with customers and colleagues.
* Quick learner with the ability to self-manage workload and deadlines.
* Educated to at least A Level or equivalent.
* Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).
* Experience with E1 systems (POs, invoices), SharePoint, and Veeva systems is advantageous.
* Ability to work under pressure with multiple priorities and tight deadlines.
* Decisiveness in day-to-day decisions within the immediate work area.
* High personal standards and a desire for success.
* Proactive with a structured approach, adaptable to change.
* Genuine team player with a supportive and helpful attitude towards internal and external personnel.
