Programme Support Officer - Fixed Term Contract for up to 6 Months
FGH Business Centre 66-70 Vicar Ln, Bradford BD1 5AJ
Hybrid flexibility: 2 office days per week
About The Role
The Programme Support Officer will provide essential governance, planning, and administrative support to the Service Transition Programme Manager for the FGH IT Service Transition Programme. This complex, multi-party transition involves migrating IT services from Tech Mahindra to multiple receiving parties including in-house operations (with TUPE transfers), Advania (managed services), and Sep2 (SOC/SIEM services).

The role holder will be critical in maintaining programme governance standards, supporting planning activities, and ensuring effective communication across seven programme workstreams and multiple stakeholder groups.

Accountabilities
Programme Planning & Scheduling

* Maintain and update the integrated programme plan using Microsoft Project (MSP)
* Support the Programme Manager in planning activities, dependency management, and critical path analysis
* Track milestone delivery across all seven workstreams
* Produce planning reports and highlight variances, slippage, and risks to plan delivery
* Coordinate inputs from workstream leads to ensure plan accuracy and currency

Governance & Meeting Support

* Attend and provide secretariat support for key programme governance forums including Programme Steering Committee, Programme Working Group, and Service Transition Working Group
* Capture accurate, timely meeting minutes with clear actions, owners, and due dates
* Distribute minutes within agreed timeframes and track action completion
* Maintain action logs and escalate overdue items to the Programme Manager

RAIDS Management

* Maintain comprehensive RAIDS (Risks, Assumptions, Issues, Dependencies, Decisions) logs
* Work with workstream leads to capture new entries and update existing items
* Ensure RAIDS are reviewed, updated, and reported in governance meetings
* Support the Programme Manager in risk assessment and issue escalation processes

Reporting & Documentation

* Create slide packs and reports for Programme Steering Committee meetings
* Prepare materials for Programme Working Group sessions
* Develop status reports, highlight reports, and dashboards as required
* Maintain programme documentation repository on SharePoint
* Ensure version control and document management standards are upheld

Stakeholder Coordination

* Coordinate across multiple receiving parties (In-House, Advania, Sep2) and exiting supplier (Tech Mahindra)
* Support communication activities and stakeholder engagement
* Distribute programme communications and updates
* Maintain stakeholder registers and contact lists
* General Programme Support
* Support ad-hoc programme activities as directed by the Programme Manager
* Assist with procurement activities, contract management documentation, and supplier coordination
* Maintain programme filing structures and ensure compliance with document standards
* Contribute to continuous improvement of programme governance processes
* To be committed to good outcomes for customers at all times

About You

* Proven experience in a programme or project support role within IT or transformation environments
* Strong proficiency in Microsoft Project (MSP) for planning and scheduling
* Excellent minute-taking skills with ability to capture complex technical discussions accurately
* Experience maintaining RAIDS logs and understanding of risk and issue management processes
* Strong Microsoft Office skills (PowerPoint, Word, Excel, SharePoint)
* Excellent organizational skills with strong attention to detail
* Ability to work under pressure and manage multiple competing priorities
* Strong written and verbal communication skills
* Proactive approach with ability to work independently and use initiative
