Key overview
• Provide executive, administrative and organisational support to the CEO and wider team as required, facilitating and ensuring the smooth running of the CEO's schedule, engagements, correspondence, and key projects.
• The role requires excellent attention to detail together with the ability to operate with discretion, maintaining a strict code of confidentiality in every aspect of the role.
• A high standard of written and verbal communication is essential.
Main responsibilities
Admin support
• Support the CEO with the administration of strategy planning and preparation.
• Manage incoming mail, correspondence and maintenance of diary ensuring reminders for annual checks, certificates, lease and contract renewals etc.
• Support with facilities management, securing and booking contractors, tradespeople and other support personnel such as IT to ensure the smooth running of the office.
• Ensure all records, files and correspondence are filed and stored in accordance with GDPR.
Finance and accounts support
• Help CEO with budget preparation.
• Facilitate the processing of monthly payroll.
HR and H&S support
• Set up meetings between employees and CEO as required including scheduling annual and 6-monthly objectives setting reviews.
• Working with CEO, HR and H&S consultants, ensure employee handbook, H&S handbook and all HR and H&S processes are reviewed annually and updated according to current legislation and best practice.
• Support the CEO to identify, organise and deliver annual HR and H&S training and team building activities as required for employees and volunteers.
Board secretary
• Organise and schedule Board meetings including agenda.
• Working with the CEO, assist with the preparation of Board papers, reports, presentations as relevant and minutes to circulate to Trustees.
