Administrative Assistant- Newry Newry £12.05 Per Hour Posted April 4, 2024 Admin Assistant Administrative Assistant Location: Newry Start Date: ASAP Duration: 6-12 Months Hours: Monday to Friday, 9am to 5pm (Flexible Working) Rate of Pay: £12.05 Per Hour Main Duties Include: Issue Decision / Re-issue Documentation: Responsible for issuing a minimum of 3 decision documentations per hour, including prosecution, no prosecution, diversionary, or re-issues. Despatching and Signatory Updates: Accurately despatch and electronically issue 100% of summons or up to a maximum of 40 despatches within one working day of lay magistrate's signature. File Production: Ensure 95% of files, including physical file, full file, and remand papers, are printed and allocated within 1 day of task. Priority given to remand files. Manual Register of Files: Register files not submitted by the network within 2 working days of receipt of hard copy file. Scanning: Scan 100% of all incoming mail onto CMS daily and forward to the correct destination within 1 day of receipt. Post Duties/Franking of Mail/Police Post: Collect and deliver files and post to designated offices twice daily. Ensure all external mail is franked and ready for collection daily. Handle police post as required. File Requests: Process file requests and task on CMS within 1 working day. Put Aways - Files and Correspondence: Ensure all files are put away within 2 working days of receipt and CMS task closed. Attach loose correspondence relating to live files to appropriate files within 2 days of receipt. Stationery Order: Collate stationery orders monthly and pass to AO to input on AC/NI. Unpack deliveries, check against delivery docket, and arrange distribution to relevant offices within 5 days of receipt of order. Issuing of Late Evidence: Deal with late evidence tasks daily and prioritize according to the earliest court date. Lay Magistrates Signing Duties: Securely pack summonses and Form's in black courier bag and arrange transportation to appropriate courthouse via courier. Assist in packing and unpacking files for lay magistrates to sign summonses. Youth Conferencing: Process all Youth Conferencing documentation at referral, plan, and completion stages within 1 working day of receipt. Update Youth Conference spreadsheet with relevant information on the same day. Communication: Answer all office telephone calls professionally and courteously. Deal with queries and requests from lawyers, police, solicitors, etc., in a helpful and professional manner. Essential Criteria: 2 GCSEs including Maths & English graded A to C or level 2 equivalent (Must supply evidence). Successful candidate will be subject to an Access NI check.
