Overview
We are looking for an organised and detail-oriented Administration Assistant to join our Business Support Team in delivering key logistics and sales support to the Danish Crown UK business. The role supports day-to-day operations of our food manufacturing business, with responsibilities spanning administrative and coordination tasks to ensure smooth business processes. The successful candidate will be responsible for exports from GB to the EU from our Manchester site, including arranging logistics, supporting on-site export activity, issuing export declarations, invoicing, processing sales orders, and producing weekly shipment plans for the sales team and customers.
Responsibilities
* Provide administrative support to various departments within the organisation.
* Assist in managing and organizing paperwork, documents, and records.
* Assist on-site with exports from our Whitefield site, including documentation, arranging transport, CMRs, invoices, and export declarations.
* Lead Brexit-related meetings via Microsoft Teams for the UK division.
* Plan orders with production sites in Europe, and collaborate with commercial and buying teams.
* Create daily shipment plans for containers arriving in the UK from Europe.
* Raise customer weekly delivery schedules.
* Facilitate internal communication and liaise with external hauliers to ensure timely shipment entry into the UK.
* Notify customers of potential shipment delays.
* Input and maintain accurate data in company systems (e.g., processing orders, raising invoices, stock movements, processing claims).
* Assist in data analysis and reporting as needed; produce weekly SAP reports to ensure all orders are invoiced efficiently.
* Support inventory management processes, track stock levels, and participate in regular audits.
* Assist in creating, updating, and maintaining documents such as manuals, procedures, and reports.
* Raise Custom Declarations for Imported Goods from the EU; raise IPAFFS (Government gateway); produce customer Trade Documents.
Requirements
* Proven experience in a similar role, ideally within logistics or data entry.
* Ability to work well in a team and independently with strong communication skills.
* Team player who can cope under pressure and multi-task.
* Knowledge of SAP is preferable.
* Knowledge of customs export/import is preferable.
* Flexibility in hours: typical hours 08:00–16:30 Mon–Thu and 08:00–15:00 Fri, with late shift rotated (18:00–19:30 Mon–Thu and 20:00–23:00 Fri) and occasional weekend work (Sat 08:00–11:00, Sun 09:00–11:00) on a 1 in 3 rotation.
