We are seeking a detail-oriented, proactive and experienced
Projects Coordinator
to join our team.. The ideal candidate will possess strong organisational and communication skills, with a proven ability to manage multiple projects simultaneously. This role involves overseeing project timelines, coordinating team efforts, and ensuring that all project requirements are met efficiently. You'll manage scheduling, administration, and communication, delivery, acting as the link between the team, participants, and external partners. This role is ideal for someone organised, proactive, and confident in coordinating activity on the ground.
Responsibilities
* Coordinate and supervise project activities, ensuring alignment with organisational goals.
* Gather requirements from stakeholders to define project scope and objectives.
* Manage project timelines and deliverables using project management software such as Basecamp, Smartsheet, or Microsoft Project.
* Conduct root cause analysis to identify issues and implement effective solutions.
* Provide on-site projects coordination and support across West Lothian.
* Monitor project timelines, ensuring milestones are met.
* Organise and minute meetings, circulate action points, and track follow-ups.
* Act as the main point of contact for project queries from staff, volunteers, and stakeholders.
* Maintain up-to-date project records and documentation.
* Prepare reports and updates for funders/partners.
* Identify and escalate risks, challenges, or delays.
Requirements
Essential
* Proven experience in a supervisory or team management role.
* Strong leadership skills with the ability to motivate and guide teams effectively.
* Excellent time management and organisational skills to handle multiple priorities.
* Proven experience in project coordination, administration, or management.
* Strong organisational and time-management skills.
* Excellent interpersonal and communication skills.
* Ability to work independently while being part of a team.
* Confident with digital tools (e.g., MS Office, Teams, project management platforms).
* High attention to detail and accuracy.
* 2 years minimum project management experience.
Desirable
* Experience working with charities, social enterprises, or community projects.
* Familiarity with reporting requirements for grant-funded projects.
* Knowledge with Socia media and events promotion skills.
* Basic AI and design skills (eg., Canva or similar tools).
* Understanding of monitoring, evaluation, and impact reporting.
