Role Overview: Project Coordinator
The Project Coordinator is a vital team member responsible for multitasking and prioritizing workload due to the busy nature of the role. Based in our Mallusk office, this role supports HVAC Capital Works projects in Northern Ireland.
Summary of Duties
* Coordinate site construction projects to ensure effective and timely completion.
* Manage scheduling of engineer diaries for optimal project coverage.
* Handle incoming calls, record, and manage them efficiently.
* Support clients via telephone and email.
* Log and assign response maintenance calls promptly.
* Process operatives' paperwork and close calls for payment submission.
* Respond within agreed time frames, service levels, and contract terms.
* Meet targeted KPIs related to contract requirements.
* Assist in cross-training team members for contract coverage.
* Perform routine administrative tasks.
* Liaise with key stakeholders and clients.
* Escalate issues early to line managers or clients.
* Undertake additional duties as requested by management.
* Ensure compliance with policies and procedures.
* Support with applications and certificates from authorities/clients.
* Work safely and diligently.
* Adhere to data protection regulations.
* Plan daily routes for multiple operatives.
* Organize materials, coordinate with suppliers and subcontractors.
* Maintain professionalism and confidentiality.
* Calculate engineer performance and bonuses.
Person Specification
* At least 1 year of office experience.
* Minimum of 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office.
* Proactive with the ability to work independently.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Team player with good relationship-building skills.
* Flexible, adaptable, and positive attitude.
