Our client is currently recruiting for the position of Administrator/Receptionist (Temp) based in central Aberdeen.
The role is full-time for around 6-8 weeks and will require a presence 5 days per week in the office.
Starts 2nd February 2026.
Main Purpose of Role:
Provide a broad range of administrative support to members of the team across the Aberdeen and Teesside offices. Focal point for reception desk; Responsible for general administration and additional ad hoc duties as required by the Executive Assistant/Office Manager and Senior Administrator.
Scope of the Role:
Reports to the Senior Administrator
Functional Roles & Responsibilities:
Reception Duties
First point of contact for all office visitors and telephone calls
Coordinating visitor details to comply with external visitor protocol
Order and set up refreshments required for external meetings
Responsible for electronic diary management for all meeting rooms
Administrative Duties
Processing incoming and outgoing mail including booking couriers
Ensure stationery and office equipment is ordered and available as required
Calendar management – organise meetings and ensure IT and logistics run smoothly and to plan
Organise catering for external meetings, lunch and learns, and breakfast meetings as required
Photocopying, binding and preparing information packs required for meetings as required
Coordinate Office Tracker and Car Parking booking system
Monitor generic email accounts, ie OM, Travel, Info, Meeting Rooms, etc
Organise efficient travel to coincide with calendars
Responsible for Aberdeen office risk and HSSE paperwork and checklists
General administrative duties
Provide absence cover for Senior Administrator
Provide other administrative support commensurate with knowledge and experience as required.

Company core team and members of project teams
Reception staff.
Competencies:
Proven track record in an Administrator role and strong team player
Excellent communication skills and comfortable communicating both internally and externally
Self-motivated, organised and efficient in understanding, coordinating and delivering actions
Discrete and demonstrable evidence of handling highly confidential information
Ability to remain calm under pressure and capable of thinking on their feet in a crisis
High attention to detail, ability to work autonomously and in a proactive manner
Proficient in the use of Word, PowerPoint and Excel
Knowledge of Docusign, SharePoint and other Office 365 planning/organisational applications is preferred but not mandatory.
