30 hours / week Support in developing and maintaining the facilities at all Hospice premises (internal/external), in order to provide a safe, secure and clean environment to meet with Health and Safety Regulations and the Health Care Commissions minimum standards. To liaise with departmental managers to identify and manage any situations which may arise Support Management in conjunction with, or absence of, the Support Services Manager to ensure effective provision of Support Services across the Hospice. Management of Staff To provide positive leadership to the facilities team/Driver, Night team and volunteers by maintaining a high level of motivation and morale within the team. Allocate, monitoring and supervision of work within the team, ensuring that hospice policy and procedures are adhered to Organisation of work roster, ensuring adequate staff cover for routine tasks To ensure an ongoing programme of in-service training for the General Services Worker/Driver and Night Workers is implemented where appropriate. To ensure all team complete any mandatory E-Learning,including the ongoing completion of an expired modules, as per requests from our L&D team. Maintain effective communication with the Facilities Team (including volunteers). Team meetings to be held on a regular basis at least quarterly. To assist in the management of the overall performance of the Maintenance Team including recruitment and selection, undertake performance appraisals and objectives reviews with General Services Worker/Drivers and Night workers. Quality of Service Responsibility for ensuring completion of and documenting audits on Health and Safety and general maintenance checks carried out by the General Services Workers and Night workers. Assist the HR & Workforce team with the development, implementation and review of Hospice policies and procedures as appropriate. Responsibility for ensuring that all Hospice vehicles are well maintained, always in a safe condition with full tax, MOT, insurance and are clean. In the absence of the General Services Worker/Driver fall back into that role and assume the day to day portering duties to ensure an appropriately high level of service to all Patients (incl. delivery of patient care), Visitors and Staff. Premises Responsibility for all Specialist Contracts ensuring all equipment is maintained as per service contracts and kept in a safe condition at all times. To manage, review and develop premises to support future services provision across all Hospice sites. To include the consultation with architects and contractors in obtaining drawings and costs and input tender process as required. Responsibility for small works and ongoing repairs/maintenance of all Hospice premises and equipment, engaging the services of suitable contractors/qualified tradesmen where appropriate, ensuring that they have the correct levels of Public and Employers Liability insurance and that method statements and risk assessments are completed in line with the Hospice Contractors Health and Safety Policy. Responsibility for the full Maintenance Programme for the Hospice addressing all issues not in the Hospital contract e.g. Decoration, Gardens and Patios. Responsibility for responding to any NHS Alerts which indicate concerns over any premises or equipment issues and ensuring that all documentation is completed in accordance with guidelines. Responsibility for Portable Appliance Testing of new equipment to the Hospice, patient equipment, and items found not tested. Administration Ensure there is compliance with Health & Safety at Work Act Fire Safety requirements Hospice internal policies as determined by the Board of Directors Contractors H & S policy Ensure all Administration Returns for the Maintenance Team e.g. Time Sheets for Overtime/Deputising, Expenses Claim etc. are timely submitted. Ensure receipts are produced for all purchases made and keep costs to a minimum seeking authority for payment where appropriate and that organisational limits are adhered to. Administer holidays/sickness for all members of the team ensuring adequate cover provided in all roles. Undertake conscientiously such other tasks and responsibilities as may be requested and reasonable in the circumstances at the time, e.g. Assistance with Fundraising events. Undergo such training or instruction as may be required to competently carry out the needs of the job. Attend and participate in such meetings as may be reasonably required.
