The Role

Branta Recruitment is looking for a proactive and organised Administrator to join our client’s busy facilities support helpdesk team. This is a key role where you’ll act as the first point of contact for logging, allocating, and monitoring maintenance and service requests across a portfolio of commercial sites.

You will provide essential administrative and customer support while ensuring planned preventative maintenance (PPM) and reactive tasks are managed efficiently and in line with service standards.

Shift Pattern

*

Monday to Friday – 8-hour shifts between 8:00 am and 8:00 pm

*

Rotating shifts: 8–4, 9–5, 10–6, 11–7, 12–8

Key Responsibilities

*

Log and track all incoming calls and jobs via the helpdesk ERP system.

*

Allocate work orders to reactive engineering teams.

*

Place purchase orders with approved suppliers.

*

Manage and update the PPM schedule, ensuring urgent jobs are prioritised.

*

Monitor KPIs and SLAs to ensure deadlines are achieved.

*

Maintain compliance on client portals and keep asset registers updated.

*

Track job progress, ensuring engineer/service reports are submitted on time.

*

Handle first-line complaints and escalate issues where necessary.

*

General administration: filing, document control, spreadsheets, database updates, and ERP reporting.

What We’re Looking For

*

Strong communication and interpersonal skills with a confident telephone manner.

*

Excellent organisational skills and the ability to manage multiple priorities.

*

Previous experience in administration and/or customer service within a fast-paced environment.

*

Competent IT user – MS Office (Excel, Word, Outlook) essential.

*

Accuracy and attention to detail in all data entry and record-keeping.

Additional Information

*

A DBS check will be required (due to client portfolio including sites with vulnerable individuals).

*

Full training provided on ERP systems and internal processes.

*

Commitment to health & safety and company policies expected at all times.
