Job summary
The purpose of the role is to: Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and administrative support to clinical staff and other members of the practice team; offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone; receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way; facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies; prior to shortlisting, shifts usually run from 8am-1.15pm and 1pm-6.30pm with extended hours on Mondays 1pm-7.30pm and on Wednesdays and Fridays 7am-1.15pm; generally a mixture of morning and afternoon sessions.
Main duties of the job
The duties and responsibilities to be undertaken by members of the practice administration team may include any of the following which may be varied from time to time under the direction of the Practice Manager.
* Reception: Receiving patients, consulting with members of practice team; ensure an effective and efficient and polite reception service is provided to patients and visitors; processing requests for appointments, visits and telephone consultations; directing callers to the appropriate healthcare professional.
* Telephone: Have working knowledge of telephone, during and after hours; answer calls in a polite and professional manner; receive and make telephone calls as required; divert calls and take messages with accurate detail.
* Appointments: Process appointment requests for today/future appointments from patients by telephone and in person; deal with visits/requests.
* Repeat Prescriptions: Collect and process repeat prescription requests; liaise with patients and chemists; ensure prescriptions are issued in line with protocols and highlight medication queries to the GP.
* Scanning duties: Sort and date stamp incoming mail; scan documents onto patient records; ensure items are scanned within 48/72-hour timescale.
* Coding and Administration: Identify clinical information, code or enter into the patient record; carry out tasks related to patient records, filing, photocopying and scanning; keep reception area tidy.
* Other tasks: Cover reception positions as necessary; ensure clinical staff are ready for patient surgeries; undertake other duties as requested by partners or the practice manager.

Essential experience and qualifications include:

* Eligible to work in the U.K.; GCSE level education; ability to provide complete education/employment history.
* Excellent communication skills; good telephone manner; keyboard and computer skills; strict confidentiality; initiative and teamwork.
