We are looking for a part-time Facilities Assistant to join the Facilities team in our Ross-on-Wye office. The Facilities Assistant role carries the responsibility to provide an efficient and professional service to our visitors and internal clients, undertaking a variety of tasks around front of house, mailroom, health and safety, maintenance and security.
Key Responsibilities:
1. Front of house reception duties including welcoming employees, contractors, and clients, answering calls and emails, processing incoming faxes, ingoing and outgoing mail, managing meeting room bookings, taxi, parking and hot desking requests, providing meeting room hospitality and setting up equipment.
2. Opening, scanning, and distributing post.
3. Organising couriers and receiving deliveries.
4. Maintaining and ordering of stocks such as stationery, business cards, catering provisions, and toner cartridges.
5. Carrying out housekeeping and H&S checks.
6. Help new starters familiarise themselves with their new working environment e.g. tour of the building, indicating fire evacuation routes, welfare areas, and other site specific features.
7. Maintaining the access register for all staff, issuing new access fobs, liaising with building management regarding access and security issues.
8. Assist with administrative duties as required.

9. Experience of being responsible for reception activities such as answering telephones, meeting and greeting of customers, dealing with staff enquiries – being a first point of contact.

11. Excellent communication skills and the ability to relate to people at all levels
12. Highly organised with a good attention to detail
13. Able to multi task a number of activities
14. Able to address problems and seek pragmatic solutions
15. Flexible, with the ability to work with and support others within the wider team
16. Good IT skills
Working hours & location:
This is a part-time role based in our Ross-on-Wye office 2 days a week, Fridays and one other day (ideally a Thursday). The successful candidate will also be required to cover holiday for the other Facilities Assistant in the Ross-on-Wye office.
