Our client based in Bracknell is currently recruiting for an experienced PA to join their friendly, professional and well establish organisation. This will be a temporary position to start ASAP. Working hours will be Monday to Friday 9am-5.30pm. 2 days per week working from home, 3 days in the office. Plenty of parking available. Key skills required Excellent organisational skills with ability to plan, prioritise and deliver on a number of tasks concurrently and manage changing priorities. Well developed administration skills Excellent verbal and written communication skills with the ability to deal confidently and courteously with people at all levels both within and outside the organisation with a confident professional approach. Good interpersonal skills with ability to build and maintain effective working relationships. Advanced computer skills including MS Office applications. Effective team working skills and naturally collaboratively in approach. Good time management skills, comfortable working quickly and delivering to tight deadlines. Ability to work on own initiative and able to prioritise with minimal supervision. Strong attention to detail, with the ability to accurately edit and proofread documents and communications. Experience Required Proven PA/EA experience supporting a busy Executive. Experience in handling confidential information and maintaining absolute discretion and confidentiality of sensitive information. Experience of taking formal minutes and circulating meeting papers. Practical experience in all Microsoft software (Word, Excel, Outlook, PowerPoint and SharePoint), with knowledge of Microsoft Teams software preferred. Duties and Key responsibilities Executive Support Act as a central point of contact for the Chief Executive. Deal with all telephone, email and postal enquiries, assessing priority, maintaining accurate records and taking action as necessary. Manage the CEO's diary and appointments using Microsoft Outlook ensuring effective use of time,. organising meetings and conference calls, booking meeting rooms and refreshments, prepare agendas, follow up on progress, source and book external venues when required Supply briefings and documents for relevant meetings. Act as Secretary to the Leadership Team to include but not limited to taking minutes and arranging papers. Manage travel arrangements and itineraries for CEO ensuring these are appropriate and cost-effective in line with Institute policy and processes. Accurately compile, type and distribute letters, reports, minutes and board papers as required and in a timely manner. Deal with private and confidential reports, papers and correspondence, maintaining the confidentiality of sensitive information at all times. Administer relevant budget codes, processing expense claims, purchase orders and invoices in a timely manner and ensuring that accurate records are maintained. Liaise regularly with the President, Officers and Institute staff, along with outside companies on behalf of the CEO. Meeting Arrangement Arrange and co-ordinate meetings, committees and visits for CEO both within the Institute and externally throughout the UK and overseas. Manage all room bookings, conference call arrangements, catering requirements, and travel and accommodation arrangements for the CEO and meeting attendees. Oversee the co-ordination of all agendas, papers and documents for meetings, ensuring these are distributed in a timely manner. Liaise regularly with the event management team and regional team in relation to large events and visits, co-ordinating CEO involvement and attendance. Attend meetings as required, acting as secretary and taking notes and formal minutes, and ensuring these are issued and approved in a timely manner. Co-ordinate action points arising from meetings, using initiative to monitor and assist CEO and Directors and staff in their implementation.
