Part Time Corporate Receptionists X2

Based on site at Rolls-Royce, Derby

Days of work : Wednesday, Thursday, and Friday

Hours:16 per week.

Shifts: either 7am (7am Friday) or ( Friday)

You will based at one location but may be required to cover sickness or leave at other local Rolls-Royce sites.

We are looking for highly self-motivated and passionate team players with a great attention to detail.

The key focus for this role will be to create a single and visual point of contact for client visitors and employees and to act as the primary interface between the internal operations of stakeholders and its clients. Providing services to the highest possible standards as well as representing the client and JLL values in appearance, presentation and manners.

You will take ownership and manage the front of house experience, help orient and settle new and visiting staff and support the facilities management team in providing a great workplace experience and provide the necessary support for business related events and community-based initiatives.

In this role, you will bring your people focused skills including strong stakeholder management and relationship building, continuous engagement and communications as well as your ability to proactively support the needs of our staff, clients and business partners. Your ability to proactively resolve queries and issues will be the cornerstone to your success in this role.

What this job involves

Customer Service:

1. Greet, assist and direct candidates/new hires/visitors and the general public to the appropriate staff member
2. Receive, direct and relay telephone, email and other queries
3. Administration of parking spaces for visitors, employees (where applicable)
4. Arrange taxis for client staff and visitors as requested
5. Book onsite meeting rooms and hospitality as per client requests and according to site procedures

HSE, Security & Quality:

6. Liaise with site managing agent and site security.
7. Demonstrate permanent high level of security awareness, knowledge of emergency evacuation procedures, procedures for visits from local authorities as well as general Health & Safety
8. Issuing of ID and access badges for new hires/vendors/visitors and maintaining record of same.
9. Monitor and maintain office and badge consumables in line within agreed stock levels.
10. Maintain the security sign-in book
11. Carry out site induction, for new starters, act as the first line of support for any concerns raised
12. Understand & actively support JLL’s Quality Management program

Site Operations:

13. Conduct daily meeting room and office checks as required by Workplace Manager
14. Prepare & serve hot beverages, layout & clear away catering as required
15. Manage all the requests on the Facilities helpdesk and liaise with service providers
16. Handle/Assist with incoming and outgoing mail enquiries according to the existing procedures
17. Assist in coordinating the repair and maintenance of office equipment and in the ordering in of office supplies.
18. Keep accurate and update records of seating plan
19. Ensure accurate and detailed hand over is planned & passed on (for tasks for within responsibility), if absent from the business.

21. Has strong relationship building skills to be able to get to know, understand and respond to the needs of our staff and customers

24. Ability to react quickly and decisively when faced with a problem or issue
25. Team player, 3 years’ experience in working within a Front of House or Reception environment ideally gained within a corporate or hotel environment
26. Able to work off their own initiative and with minimal direction
27. Strong team player with a commitment to support their colleagues
28. Exceptionally organised and skilled in multi-tasking
29. Computer Literate – good understanding and working knowledge of office software.
30. Communication – good level written, oral communications skills. An influential communicator, with the ability to deliver clear and concise messages and identify mutually agreeable solutions.
31. Proven track record of achievement
32. An ability to understand problems, its impact and provide resolutions in a timely manner
33. Feel empowered to take action and resolve issues quickly and thoughtfully
34. Excellent time management and organisational skills
35. Ability to work under pressure and to tight deadlines
