ABOUT THE ROLE You will play an integral part of the Hearst Operations Project Management team. You will deliver projects profitably with exceptional client service, coordinating with agency and client teams to deliver results. You will be a forward thinker and see the wider context of the campaigns we deliver. This role is a great opportunity to add value to the project management team and support the Head of Project Management with the rollout of new processes, sharing experience and advice with more junior team members to help them grow while remaining curious and keeping yourself informed of new tools, practices and ways of working not only across Hearst Operations but in project management in general. Duties: Project Management Full ownership of print, digital and social delivery – ensuring all creative assets are delivered on time and to the highest standard by co-ordinating the relevant stakeholders in order to meet client goals Uphold the Hearst Project Management business rules and principles Thrive on juggling multiple projects/clients at the same time Ensure the consistent delivery of high quality and profitable work to clients Be the glue that brings the internal, agency/client teams together to deliver results Ensure all administration and finance information is accurate and maintained to a high standard Anticipate client’s and colleague’s needs staying two steps ahead of the next deliverable, milestone or project Keep up to date with and use best practices and tools for project management See problems as opportunities Pre-Sales Work with Account Management to plan the best course of action and then executes with a customer-centric attitude Advise on production cost estimates to ensure budgets and profit margins are maintained Well versed in the Hearst creative specifications for delivery and have the ability to recommend solutions, looking at previous campaign performance to build new assets and content Confidently adapt to briefs with tighter timelines with flexibility and a positive outlook by rising to the challenge Production Organise shoots (print, digital and video); booking locations, casting talent, confirming permits and catering To be accountable for the cost of all content production – working to a previously agreed budget vs. net value of a campaign Maximise income from projects through good management and efficient delivery Have an understanding of digital and standard specifications; awareness of third-party tracking and analytics tools and how the production process can impact these Very willing to work across multiple brands to achieve scale of execution and seamlessly deliver across the Hearst portfolio Seamlessly move between projects while handling multiple competing deadlines Conscientious of budget and awareness of tracking to hit monthly/quarterly and annual targets Work closely with respective workflow directors and editorial members to ensure full visibility and transparency of all live work and upcoming deadlines Brief out copywriters and subs teams for print and Content Studio for digital, ensuring a clear understanding of the work required to hit the client’s objectives and project schedules Stay abreast of campaign performances, take onboard feedback for an all-around better client service Campaign Management Comprehensively handover all digital content in a complete format to Account Managers to the campaign management to commence Seek out improvement feedback Post Campaign Ensure all invoices are processed quickly and efficiently to be with Finance and Payroll on time each month, coding these correctly and ensuring rates are adhered to Negotiate rates with model agents, photographers and other contributors to maximise profit margins on each job. This also involves establishing and developing a strong relationship with these agencies Attend wash-up meetings at the end of a campaign’s cycle to establish; what worked well, what didn’t work, how to improve for next time Teamwork & Collaboration Support the Head of Project Management by coaching, developing and stretching others (peers newer or more junior) Delegate tasks that will give others the opportunity to learn by showing others how to do things rather than just doing it yourself Learn how to give praise and improvement feedback regularly Learn impact on others and foster collaboration Support the Head of Project Management in the running of the Project Management team Be pro-actively involved and take the lead in projects that benefit the whole commercial floor Act as a point of escalation and work with Head of Project Management on team motivation, relationships with internal and external stakeholders and project management strategy. Be outwardly perceived as an expert to the wider Commercial floor. To be an ambassador of Hearst UK and its values.
