We’re looking for a highly organised and proactive Purchasing Administrator to support our procurement function and contribute to the continued efficiency and success of our supply chain operations.
Key Responsibilities
* Set up new suppliers and raw material sources
* Raise and manage purchase orders (POs) for raw materials including cheese, films, and packaging
* Review and tender POs from internal requests, ensuring accuracy and timely processing
* Monitor and respond to supply chain emails, queries, and calls
* Liaise with logistics to coordinate timely delivery of externally stored stock
* Run and analyse weekly usage reports; adjust POs in line with supplier agreements
* Prepare “shopping lists” ahead of purchasing meetings
* Identify and resolve slow-moving or redundant stock issues
* Attend purchasing and supply chain meetings and follow up on agreed actions
* Track KPIs and supplier performance, addressing OTIF (On Time In Full) and booking discrepancies
* Coordinate and follow up on supplier review meetings to ensure continuous improvement
* Cover procurement team tasks as needed during absences
* Review daily production shortage reports and coordinate with planning and technical teams
* Develop and implement cost-saving strategies and improvements
* Maintain accurate documentation and work instructions to meet compliance standards
What We’re Looking For
Knowledge & Experience
* Minimum 2 years’ experience in a purchasing, procurement, or supply chain role
* Solid understanding of purchasing processes and supplier management
* Experience in raising and managing POs, tendering, and supplier evaluations
* Knowledge of raw materials in a food manufacturing environment (e.g. cheese, packaging)
* Comfortable interpreting stock usage and addressing surplus or redundant stock
* Familiar with supply chain metrics such as OTIF and delivery accuracy
* Experience working cross-functionally with logistics and warehousing
* Understanding of compliance and documentation requirements
Skills
* Strong analytical and reporting skills
* Excellent written and verbal communication skills
* Highly organised with the ability to manage multiple tasks and priorities
* Detail-oriented, particularly when reviewing supplier paperwork and production reports
* Able to develop and implement cost-saving initiatives
* Confident and adaptable in a fast-paced, changeable environment
Qualifications
* GCSEs or equivalent in Maths and English (minimum)
* Relevant training or qualification in Supply Chain, Procurement, or Business Administration (desirable but not essential)
