This is an excitingopportunity to join a music education charity focused on grantmaking and advocacy work. As the organisation expand theiroperations, they are looking for a highly organised anddigitally-savvy Operations Officer to be the backbone of theirsmall but impactful team.
Since launching inJanuary 2025, the charity has rapidly become an essential connectorbetween schools, grassroots organisations, and industry and policyprofessionals, aiming to strengthen music provision through directinvestment and advocacy work.. In 16 months, the Foundation hasbegun supporting grassroots organisations and state school musicdepartments up and down the country, reaching over 15,000 childrenand young people – and they have no intention of slowingdown.

The Role
Governance & Executive Support
- Board Secretariat: Coordinate Board and Committeemeetings, including preparing agendas, distributing papers, andtaking accurate, professional minutes.
- Scheduling: Manage complex calendars for the CEO andleadership and coordinate external stakeholder meetings.
- Compliance: Ensure all digital and physical filingsystems are maintained in line with UK GDPR and charity commissionrequirements.- Governance Accuracy: Minutesdistributed to the Board within [e.g., 5 working days] with zerosignificant errors.- Comms Approvals Trail:Ensure sign-off is obtained and recorded for external-facingcontent (e.g., posts, web updates, case studies) and that finalversions are stored.
Office &Data Organisation
- SystemsManagement: Maintain the charity's central filing system, ensuringdocuments are easily accessible yet secure.
- System Efficiency: Successful migration orre-organisation of digital folders to ensure staff can find anydocument within 30 seconds.- Data Entry: Keepour donor or contact database up to date, ensuring information isaccurate for fundraising and outreach teams.
- General Admin: Manage the charity's general email inbox,handle post, and order office supplies.
Finance
- Record keeping:ensure charity tracking to budget and keeping recorded receiptswith approvals, ready for external audit.
- Reporting: Preparing progress reports on spend andidentify opportunities for cost efficiency and trends.
Digital & Communications Support
- Digital/Socials Cover: Provide operationalcover for the digital/socials team as needed, including schedulingposts, coordinating assets, basic updates, and ensuring content isapproved before publishing.- Asset &Permissions Coordination: Maintain and organise approved assets(photos/video), permission forms, and usage notes, particularlywhere young people are involved.
The Candidate
- Experience: Proven experience in anadministrative or office management role (Charity sector experienceis a plus).- Digital Skills: Proficiency inMicrosoft 365 (Word, Excel, Teams) and a natural flair for socialmedia trends and platforms.- Communication:Exceptional written English for drafting minutes, blogs, and socialcaptions.- Organisation: A methodical approachto filing and a "hawk-eye" for detail.- Values:A genuine passion for young people's musical provision inunderserved communities.
Terms ofAppointment
Reporting to:CEO
Salary: £24,000 - £28,000 (Dependent onexperience)
Location: London
Tuesday to Thursday in office, Monday and Friday athome
Working hours: Core hours from 10:00 –18:00
Occasional evening and weekendhours.
