A day in the life of…

As our Hotel Reservations Executive, you’ll be responsible for overseeing the reservations process from start to finish for our guests. You’ll work to ensure that guests have a seamless experience when booking their accommodations and that all reservations are accurate and up to date.

This includes managing reservation systems, communicating with guests and other departments within the hotel, and ensuring that all reservations are properly documented. You’ll be responsible for managing room inventory and rates, as well as overseeing the work of reservation agents and other staff members.

What do we need from you?

* Extensive experience in creating and implementing strategies that drive success.
* Excellent communication skills: You’ll have excellent communication skills to effectively interact with stakeholders, team members, and customers and able to present complex information in a clear and concise manner.
* Analytical and problem-solving skills: You’ll need to have strong analytical and problem-solving skills to identify issues and implement solutions. You should be able to use data to make informed decisions.
* Attention to detail: You will have a keen eye for detail able to review reservations and ensure that they are accurate and up-to-date. You’ll be able to identify and resolve any issues that may arise and analyse complex data
* Industry experience: You’ll need to have extensive industry experience to understand the specific challenges and opportunities within the hotel and develop strategies to drive success. You should also have a deep understanding of the industry's regulations and compliance requirements

Duties and responsibilities

Reactive Sales: With the DORS, manage group enquiries

sending quotations

holding blocks in Opera (per SOP’s)

follow up quotations through conversion.

Contract: Contract Group Reservations

Planning: Plan the group from start to finish, including room allocations, arrival through to departure.

Ensure that the groups daily / weekly tasks are updated

Assign deposits / generate deposits and posting

Billing and Finance Management for Group Reservations

Review group reservations booked daily.

Complete Group Arrival Report daily and distribute by Midday the day prior to arrival to the Reservations Manager

Complete Group BEO’s each week with the Events Executive to the HOD’s

Attend BEO / HOD weekly briefings to ensure communication with the teams.

Arrange Group Arrival / Group Breakfast / Group F&B in accordance with the hotel standards and schedules.

Responsible for recording Company/Travel Agent Profiles in Reservations Systems

Knowledgeable in hotel and guest room facilities/services

Responsible for various Production reports and supplies to each department concerned.

Observe and ensure that proper telephone standards are maintained at all times

Monitors and coordinates group reservations activity

Follows up on tentative bookings and updates reservation status

Reviews no-show and cancelled reservations and processes charges according to the hotel’s policy

Review room blocking for Extended Stay. Suites and special group requests.

Maintain cordial relations with commercial clients.

Ensure payment processes are adhered to

Manage groups email and telephone communications effectively.

Actively support the Events Executive and in the Event Executive’s absence, support the Reservations Manager and DORS in managing the events pipeline.

Responsible for maintaining a neat and orderly position at all times.

In general, perform any other duties that might requested by the Director of Revenue Strategy
