JOB TITLE: Human Resources (HR) Apprentice
REPORTS TO: HR Operations Manager
WHY THIS JOB EXISTS:
To support the HR Operations team and provide general
administration support within Secure Care UK (SCUK) as an HR Apprentice
flexibly as required. The HR Apprentice will be expected to undertake a variety
of administrative duties both independently and under supervision.
This is a fantastic opportunity for talented individual
to allow them to gain valuable experience within HR industry, there will also
be the opportunity for a CIPD Qualification for the right candidate.

Full-Time Vacancy - 37.5 hours per week
MAIN RESPONSIBILITIES AND ACCOUNTABILITIES:
• Support the HR Operations Manager with high standards
of all aspects of health & safety to ensure compliance with legislation.
• Act as a role model for HR by demonstrating the Company
Values with high standards of integrity and professionalism towards clients and
colleagues, and to act at all times in a manner consistent with legislation,
policy and procedures, the Code of Conduct in respect of Equality, Diversity
and Inclusion by instilling professional behaviour within SCUK.
• Conduct pre-employment checks in accordance with the
Safer Recruitment Policy with regard to Right to Work check, DBS, References,
Qualifications, Fitness to work checks, etc. Ensure all checks are completed in
a timely manner and prior to the commencement of employment.
• To check all pre-employment documentation associated
with the Disclosure and Barring Service (DBS) and raise any concerns with HR
Operations Manager. Identify any unsatisfactory clearances and report to the HR
Operations Manager.
• Support the HR Administrator with payroll related
queries/adjustments and changes to contracts.
• To assist with the management of the HR Admin Inbox and
to provide first line support when necessary to ensure staff queries are dealt
with professionally, accurately and in a timely manner.
• To ensure personnel files are audited for compliance
with GDPR including the assistance with the digitisation of all HR records,
including information held on personnel files.
• Preparation of employment contracts, changes to
employment terms and conditions letters. Ensure they are accurate and issued in
a timely manner.
• Support the recruitment team with advertising,
application screening, interview invite letters, references and conditional
offers through to post offer employment documentation and filing and update HR
database accordingly.
• To work accurately and efficiently both as part of a
team or unsupervised, prioritising own work and meeting deadlines for Payroll
and Recruitment.
• To maintain accurate and up-to-date HR spreadsheets and
databases such as Payroll, recruitment, clearance checks, DBS renewals, etc.
• To assist in maintaining Single Central Records for all
establishments and undertaking training to enable safer recruitment of staff.
This includes compliance checks for staff across SCUK.
• Ensure accurate and timely inputting of data onto the
HR system, including new starters, leavers, amenders, maternity, paternity,
absence and annual leave, etc.
• Provide and promote HR service excellence and foster
effective teamwork and business relationships.
• To communicate sensitively with a wide range of people,
including staff (who may communicate through challenging behaviour), external
contacts and the public.
• To maintain information in a confidential manner,
following data protection regulations and ensuring the HR operational team and
personnel files and recruitment records are GDPR compliant.
• Supporting all aspects of Child Protection and
Safeguarding of Vulnerable Adults;
• Collaborate respectfully with Inter-Company departments
to deliver an exceptional HR and recruitment service with high standards of
professionalism and in line with internal and external required standards.
• Demonstrate genuine care for colleagues through
professional communication, demonstrating the standards of behaviours required,
teamworking and professionalism.
• Take accountability for own continual professional
development and reflective practice for learning.
• Achieve set business KPI’s, goals and objectives
through regular reviews.

• Support the HR team as required ensuring all

the opportunities present themselves.
• Ensure the integrity of the SCUK brand by maintaining
high professional standards for the whole team at all times.
• Collaborate respectfully with Company departments for
audits, checks and standard operating procedures for effective and accurate
implementation and maintenance.
• Participate in regular Quality Assurance checks from
external organisations e.g. CQC & ISO Standards for compliance.
• Ensure all work activities for the teams are in line
with legislation and maintain own understanding of new standards set within the
industry.
• Any other reasonable duties as assigned.
• Encourage teamwork and best practice across the HR and recruitment team to build a learning culture.
• Support with succession.
• Start to perform duties as required by the next level.

BACKGROUND & EXPERIENCE:
• Ability to meet the entry requirements of the Level 3 apprentice course attached to this apprenticeship and to attend and undertake the studying and course work required to complete the course.
• Educated to at least GCSE standard, with five passes at Grade C (or equivalent) including English and Mathematics.
• Good IT skills; ability to use Microsoft Office packages including Word, Excel and Outlook.
• Excellent organisational skills, in order to manage work to meet conflicting deadlines.
• High level of attention to detail and high level of accuracy.
• Strong written and verbal communication skills as well as excellent interpersonal skills, in person, by telephone and in email.
• Exceptional time management & organisational skills, has the ability to manage multiple tasks and projects.
• A friendly professional manner and appearance.
• Driven and self-motivated.
• Able to work within a team as well as able to work on own initiative, sometimes working under pressure and to tight timescales.
• Demonstrates an ethical and cultural awareness.
• Ability to adapt positively to change.
• Able to communicate core competencies and demonstrate them as a role model for the team.
Salary to be discussed during the interview process however, it is very likely to be current suggested Apprentice Rate as stated on the GOV.UK guidelines.
