Purpose of the role
You will be part of the Central Processing Team (CPT) and be responsible for ensuring the workflows are streamlined and effective. You will have a varied and interesting workload, supporting the fee earning departments as well as the various support departments. You will support people at all levels across the firm, providing day to day support as required.
The tasks you will carry out include, but are not limited to, the list below.
You will be responsible for:
* Managing the workflow of the CPT and Central Records inbox ensuring work is carried out accurately and within specific turnaround times.
* Processing all incoming and outgoing mail, ensuring timely distribution and dispatch.
* Introducing streamlined processes using technology to improve service delivery and training staff accordingly
* Maintaining mailroom equipment and MFD around the offices with regular checking of paper supplies, etc
* Ensuring the mailroom and offices are maintained tidy at all times
* Coordinating courier collections, special deliveries, and tracked items being cognisant of delivery times and cost implications.
* Assisting the Facilities Co-ordinator with regular CPT meetings to improve service delivery
* Assist the mail room with all requests and outgoing mail requests
* Conduct regular H&S inspections, walk‑arounds of the buildings including the kitchens, meeting rooms and general areas.
* Maintain accurate H&S records, logs, and compliance documentation.
* Provide support and ad hoc cover to reception team
What you will need to succeed:
* Ideal candidate should have experience working in an office setting with experience of record keeping.
* Excellent IT skills, including MS Word, Excel and Powerpoint and an ability to learn new IT systems quickly
* Excellent interpersonal and communication skills to liaise and work well with all staff and Partners
* Ability to take initiative and lead by example
* A flexible, positive, "can do" attitude to provide timely responses to all work requests
* A willingness to carry out a large variety of tasks
* Be highly professional with a drive for high standards
* Be willing to undertake training and learn new skills as required
