Admin Manager needed at an SEN School in Truro.
This full-time, temporary-permanent role is contingent upon application and successful interview.
Salary: £30,964 FTE per annum/pro-rata based on hours/working weeks. Additional requirements include 12 on-call days during school holidays.
Hours: Variable hours initially for 37 hrs/week, 39 weeks/year (term time plus CPD days), plus 12 days in holidays (total 47.78 paid weeks/year). Working hours are 8:15 - 4:15 Monday to Thursday and 8:15 - 3:45 Friday.
Roles and Responsibilities:
* Support the Headteacher with professional administrative duties and oversee the admin team.
* Maintain up-to-date staff and pupil records, including attendance, contacts, and medical needs.
* Manage HR administration such as recruitment, staff absence, and personnel records, following trust processes.
* Handle safeguarding administration and monitor the Single Central Record (SCR).
* Ensure administrative processes comply with GDPR, are accurate, and secure.
* Update Arbor and other school records, ensuring data protection compliance and system backups.
* First point of contact for HR queries, including completing staffing forms and liaising with the trust.
* Maintain confidentiality of staff files and records, adhering to data retention policies.
* Process DBS checks, pre-employment checks, and Letters of Assurance.
* Assist with recruitment, induction, and leavers processes.
* Manage pupil records related to admissions and departures, ensuring confidentiality.
* Maintain electronic and manual records, including census returns and reports for authorities.
* Coordinate home/school transport with the Local Authority and liaise with providers and parents.
* Provide secretarial support to the Headteacher and SLT, including diary management, correspondence, and minute-taking.
* Support school events, staff briefings, and leadership meetings.
* Oversee reception and office staff, providing line management.
* Ensure compliance with national and school policies.
* Manage electronic communications, school calendar, and financial processes including purchasing and invoicing.
* Attend budget meetings as invited, process expense claims, and liaise with suppliers and external agencies.
* Book supply staff, manage staff absence, and coordinate work placements and volunteers.
* Participate in school fire drills and emergency procedures.
* Support media relations and Ofsted inspections.
* Prioritize pupils' needs, support team members, and adhere to trust values and policies.
* Engage in self-development and undertake other duties as required.
