Equans is looking for a Administrator to join our team based at Sandwell and West Birmingham Hospital on a permanent basis. This is a full-time position working 37.5 hours per week, from 08:00 to 16:00 / 08:30 to 16:30 / 09:00 to 17:00 (as preferred), Monday to Friday based on site at Sandwell Health Campus, Hallam Street, West Bromwich, B71 4HJ. General Overview
Working across the SWBH Hospital contract, this is an exciting opportunity to take on a key role supporting the contract with a variety of administrative tasks, working closely with the Helpdesk, Operational team and supporting the Managerial team.
What will you deliver?
* Generate purchase orders for Reactive/Quoted works, Minor Works and PPM using purchasing system Coupa.
* Invoice and credit approvals – 3 Way Match, Quality checking invoice/credit for correct value and matching information to the PO, dispute discrepancies with subcontractor or suppliers. Chase appropriate party for supporting information if not in place.
* Onboarding new suppliers onto Coupa
* Review and update POEM and GRIR
* Liaise with Contract Managers and Supervisors to effectively deal with subcontractor/supplier invoicing queries escalating issues where necessary to Management team.
* Validating and Processing Contractor Labour timesheets

Who are we looking for?
* Previous experience within Administration is a must.
* Educated to GCSE standard.
* Good interpersonal skills & telephone manner.
* Word processing, mail sorting and delivery, statutory document collation and distribution, data input and filing both hardcopy and electronically.
* Being able to work in an efficient and accurate manner, prioritising your workload to ensure that all deadlines are met.
* Undertake any other relevant duties required from time to time, as reasonably corresponds to the general character of the post and is commensurate with the level of responsibility.
* Support the Operations team & Account Manager on individual projects as required.
* Working within an operational environment, meeting deadlines regularly and maintaining communication with all involved.
* Strong IT skills including full range of Microsoft applications (Office, Word, Excel).
* This role includes a DBS Enhanced check therefore ability to pass is essential.
