Role: Specialist - Administration, UK (Contractor / Agency worker / Intern)

Location: 100% On-site (Teesside Power Station, Wilton, Middlesbrough)

Salary: Depends on experience

Duration: 5 months with possible extension

Report to: UK Office & Admin Manager

Eligibility: You must have completed taught course and is eligible to work fulltime with University confirmation letter or PSW visa if you are applying via an internship

About the role:

We are looking for a professional to look after our London office day to day operations. Our London office is located near St. James Park. We need the person to work on-site to deal with all office related tasks and also reception the visitors from our customers, vendors, HQ and other sister companies.


Key responsibilities:

* On-site admin:
* Responsible for admin budget and expenditure to ensure a sound, healthy and safe operation within budget.
* Responsible for daily inspection, facility and inventory management and admin supplier management.
* Formulate visitor rules and manage related on-site visitor registration, meeting room, access card and other records.
* Responsible for staff health & safety coordination, travel arrangement and travel/visitor visa applications.
* Manager accommodations and allocations for UK projects and employees/staff
* Undertake ad hoc tasks assigned by line manager/supervisor.
* Responsible for on-site vehicle management, including coordination of usage, maintenance scheduling, and registration tracking.
* You may need to drive when needed
* VIP and Executive reception and events:
* Formulate rules and regulations for daily visitor management, including service briefing, SLA and SOP of managing reception, conference/meeting and VIP banquets.
* In charge of reception of customers and management team of the company, and undertake the planning and organization of important meetings, events, activities for business departments.
* In alignment with the Group reception standards, actively develop reception resources of local food, accommodation, transportation, and recreational activities in project location effectively control supplier service quality and continuously improve customer satisfaction.


Qualification and expertise:

* UK educational background, with Bachelor degree or above, major in administration and management etc.
* Admin experience in formal business setting and international company is preferred
* English and Mandarin bilingual fluency
* Comfortable with on-site working environment
* Strong sense of responsibility, positive attitude, enthusiasm, good sense of service and professional ethics
* Proactive approach to problem-solving and ability to handle challenging situations
* Excellent organizational skills and attention to detail; ability to organize; prioritize and work efficiently under pressure and subject to changing priorities; proven experience in meeting deadlines
* Driving license: a full UK driving license is preferred or a valid international driving license (you entered UK with that license less than 12 months till end of September)
